️ We're Hiring: Administration Assistant

Location: Milperra,Sydney

We’re on the lookout for a self-motivated and resourceful Administrative Assistant to provide essential administrative and coordination support to both the Recruitment Team and Office Manager. This role is responsible for ensuring the smooth execution of recruitment and onboarding activities, maintaining accurate records, and assisting with the daily operations of the office.

This role is a Full Time permanent role, based in our ISS office in Milperra 5 days per week,

The position requires a highly organized, detail-oriented individual who can manage multiple priorities while delivering exceptional service to internal and external stakeholders. By supporting efficient recruitment processes and professional office operations, this role contributes to a positive employee experience and the overall effectiveness of the team.

Key Responsibilities

Recruitment Administration:

Provide administrative assistance to the Recruitment Team throughout all stages of the recruitment and selection process including and not limited to:

Prepare ID badges and required uniform for new ISS place makers.
Be point of contact for new/replacement ID badges for Sydney, SWS and NC.
Maintain records of inductions paper work and documentation.
Assist with ISS inductions as required including supporting trainer in setting up UKG and My ISS app with new starters.

Maintain and update applicant tracking systems (ATS) and recruitment databases to ensure data integrity and accuracy.
Assist with the coordination of recruitment-related events, such as career fairs and information sessions.
Compile recruitment reports and metrics as required by the Recruitment Lead.

Office Administration:

Support the Office Manager in overseeing day-to-day office operations to ensure a professional and efficient work environment.
Manage office supplies, equipment, and facility maintenance requirements.
Coordinate meetings, staff events, and training sessions, including logistics, catering, and materials preparation.
Manage incoming correspondence, telephone calls, and inquiries, ensuring they are directed appropriately.
Maintain effective document management and filing systems, both electronic and physical.

P&C Support

Monitor and track compliance requirements (e.g. WWCC, NCCHC, visa/work rights) and coordinate follow-ups with managers and employees.

Assist with data validation including dormant records, and maintenance of trackers. · Assist with first-level HR queries and coordinate with the P&C team for escalations where required.

Provide ad hoc support across P&C administrative activities as required to meet operational needs. · Support return-to-work coordination by tracking employees returning from leave and liaising with Managers/Employees to ensure a smooth transition.

Other Duties

Ensure all allocated tasks are completed accurately and within agreed time frames. · Demonstrate a continuous commitment to own professional development by actively participating in cross-training with various Teams. · Follow the expectations/guidelines outlined in the ISS Employee Handbook, adhere to ISS policies, and contribute to a workplace free of discrimination, harassment, and victimisation. · Participate and identify opportunities for continuous improvement · Ensure Customer and ISS employee information or transactions are kept confidential during or after employment with the company. · Any other duties as directed by the Workforce Manager

Health and Safety · Practice safe work habits following ISS Health, Safety and Environment policies. · Report any health or safety hazards, faults, repairs, cleaning needs and accidents to your Manager. · Report all incidents and accidents within 15 minutes of the occurrence following the escalation procedure.
