Full Job Description

Provide administrative, analytical and operational support to a senior management team
Support the day-to-day functions of the Infrastructure Projects and Security Unit including data management of business units' data bases and records.
Assist with procurement including, quotes, invoicing, and purchase orders.

The Department of Justice and Community Safety (Youth Justice) is responsible for the statutory supervision of young people in the criminal justice system in Victoria focussing on prevention, diversion, and early intervention as the most effective and fiscally responsible ways of reducing youth crime. As an area within the department, Youth Justice is committed to the demonstration of the Victorian Public Sector values. The values are: responsiveness, integrity, impartiality, accountability, respect, leadership and human rights.

Youth justice custodial centres accommodate young people aged 12-18 years who have been remanded or sentenced by the Criminal Division of the Children's Court, and some 18-21-year-olds sentenced by Adult Courts to a youth justice custodial centre.

The Infrastructure Projects & Security Unit (IPSU) is responsible for facility maintenance and upkeep of the Parkville, Cherry Creek and Malmsbury Youth Justice Precincts which includes essential services and regulatory compliance, general maintenance repairs, ground maintenance, grasslands and environment, assets and equipment, security systems, fire systems, BMS and building systems and delivering minor project works.

The opportunity

Full time, ongoing position based at the Parkville Youth Justice Precinct but working flexibly across other locations where needed to respond to operational requirements.
VPS3 role: $81,496 - $98,955 per year plus super.
Deliver business support function and provide operational administration services to Senior Managers within the business unit to facilitate the provision of essential services and compliance in a secure custodial environment.
Provide a range of executive, confidential, administrative, and operational support functions including customer service, office management, financial support, data management and site access management to ensure all stakeholders obtain the induction and relevant site security access requirements.
Effectively manage and advise on office processes and maintain corporate information systems for records management and financial information as required, including analysis of statistical data and asset management inventory records.

To be successful in this role you will have:

Experience in general office management and the provision of confidential, personal and administrative support functions to a senior manager, preferably within a multi-agency service delivery environment.
Understanding of DJCS policies and procedures and proficiency in the Microsoft Office suite is desirable.
Ability to effectively manage a diverse range of stakeholders including employees, agency staff and contractors.
A current driver's licence is required due to the need to work across different locations.

You will be required to obtain a Working with Children Check (WWCC) to be maintained by the employee for the period of employment.
