About Us
Court Services Victoria provides corporate services and facilities to support the performance of the judicial, quasi-judicial and administrative functions of Victoria's courts and tribunal, Judicial College and Judicial Commission.
Collectively, Victoria's Supreme, County, Magistrates', Children's, and Coroners courts, the Victorian Civil and Administrative Tribunal (VCAT), the Judicial College of Victoria, the Judicial Commission of Victoria, and Court Services Victoria (CSV) are referred to as the ‘Courts Group'.

About Funds in Court
Funds in Court (FIC) supports the Senior Master, who holds funds, investments, and assets, principally for people with a disability. FIC works to ensure the safe and effective investment of clients' funds at low cost, and to use funds in a manner that responds to clients' diverse needs and aspirations. FIC is a self-funded, not-for-profit division of the Court that also manages funds paid into Court pending the outcome of a proceeding, as dispute monies and security for costs, and pursuant to the Trustee Act 1958 (Vic).
ABOUT THE ROLE
The role provides administrative support to the Solicitor to the Senior Master and legal officers, as well as assisting the Legal Administration team with payment in and payment out at 18 processes as needed.
Assisting legal officers with tasks including:

Drafting correspondence to legal practitioners, clients and litigation guardians in accordance with directions from legal officers.

Handling routine phone calls regarding applications for legal costs in the first instance and making phone calls as directed by legal officers.
Assisting legal officers with administrative tasks relating to the payment in and out of funds including:

Draft correspondence with legal practitioners and clients regarding payments into and out of Court.

Providing legal practitioners with EFT/BPay information to facilitate payments into Court.

Informing the Accounting & Tax area of anticipated payments into Court and required payments out of Court.

Scanning of court orders and other documents to the Senior Master's Trust Management System (TMS).

Assisting with drafting simple memoranda regarding potential delays of payment into Court.
Providing administrative support to the Legal Administration team as needed, including:

Drafting documents for payments out of Court for persons who have reached the age of majority, in accordance with Court orders and legislation, including drafting Court orders and statutory declarations.

Completing relevant sections of the Payment Out at Majority Checklist.

Creating files for new clients and receipting funds paid into Court.

Undertaking routine phone calls from clients and/or their guardians regarding payment out of funds in Court.

Email communication with clients regarding payment out of funds in Court.
Assisting legal officers with general administrative tasks and drafting simple orders, deeds, memoranda and correspondence as directed by Senior Legal Officers.
ABOUT YOU
- Experience in administration, office support, customer service preferably in a legal environment.

Strong attention to detail and the ability to deliver high-quality administrative services.

Confidence working with technology, including MS Word, Excel, Teams and Outlook.

Knowledge of Disability Services would be highly regarded
