About the Role
Acting as the central coordination point for project administration and office operations, this role ensures the Project Director and Senior Leadership Team (SLT) receive a high-quality administrative support, managing meeting minutes, travel coordination and ensures the efficient operations of the project office.
Job Tasks and Responsibilities
- Act as the primary administrative support resource for the Project Director and project leadership team.
- Assist Project Managers with the preparation, collation, formatting, storage and distribution of electronic and hardcopy documentation, including correspondence, reports, project submissions, site paperwork and contractual documentation.
- Manage calendars, appointments and meeting schedules for the Project Director and project leadership team.
- Attend meetings, record minutes and track actions through to completion.
- Coordinate travel and accommodation arrangements for project personnel as required.
- Act as a central point of coordination and communication between project teams and support functions.
Essential Skills / Qualifications
- Experience in a Personal Assistant, Business Support Officer, Project Administrator, Office Manager or similar role.
- Demonstrated experience supporting senior executives or project leadership teams.
- Strong organisational and time management skills.
- Experience coordinating meetings, governance processes, and project documentation.
- Excellent written and verbal communication skills.
- High level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Strong attention to detail and ability to manage competing priorities.
- Ability to work independently and maintain confidentiality.
