We're looking for an organised, proactive and customer-focused Client Experience & Office Coordinator to become the first point of contact for our clients and visitors. This is much more than a reception role—it's an opportunity to own the day-to-day client experience while supporting our advisers and ensuring our office operates seamlessly.

What you'll be doing

You'll play a central role in keeping our office running smoothly while delivering a premium experience for every client who interacts with Coastal. Your responsibilities will include:

Welcoming clients and visitors and creating a warm, professional first impression
Managing reception, incoming calls and shared inboxes
Coordinating meeting rooms, refreshments and client appointments
Supporting Financial Advisers with meeting documentation and client administration
Managing client service requests and maintaining accurate records
Coordinating office operations, suppliers and facilities
Assisting with workplace events and client functions
Supporting onboarding activities for new team members
Helping maintain our high standards across every aspect of the client experience

No two days are the same, making this an ideal role for someone who enjoys balancing client interaction with administration and operational coordination.

About you

You'll be someone who genuinely enjoys helping people and takes ownership of your work.You'll ideally have:

Experience in reception, client service, administration or office coordination
Outstanding communication and interpersonal skills
Strong organisational skills with excellent attention to detail
The ability to juggle multiple priorities while remaining calm under pressure
A proactive approach and willingness to solve problems
A professional, polished and approachable manner
Experience in professional services such as financial planning, accounting or legal (highly regarded)
Experience using Microsoft Office, with CRM experience viewed favourably
