As our Australian operations continue to expand, we are seeking an experienced Office Manager to lead our administrative functions and support the efficient operation of our growing business.
About the Role
As our Australian operations continue to expand, we are seeking an experienced Office Manager to play a key role in overseeing our administrative operations and ensuring the efficient day-to-day management of our Adelaide office.
As part of our growing team in Adelaide, you will work closely with director and various departments to coordinate office operations, support business administration, supervise administrative staff, and implement effective office systems and procedures. Your contribution will be essential to supporting JOLONG AUSTRALIA (SA) PTY LTD's continued growth and operational excellence in Australia.
Key Responsibilities
- Plan, organise and oversee the day-to-day administrative operations of the Adelaide office, ensuring effective coordination between the manufacturing workshop, warehouse, showroom and sales team.
- Coordinate administrative support for aluminium and uPVC window and door production, procurement, inventory, logistics and customer service activities to ensure smooth business operations.
- Develop, implement and continuously improve office administrative systems, procedures and workflows to support the company's growing manufacturing and distribution operations.
- Coordinate administrative communications with suppliers, customers, freight providers and contractors to support daily business operations.
- Supervise and coordinate administrative staff, monitor office performance and ensure administrative tasks are completed efficiently and accurately.
- Coordinate office procurement, facilities management, equipment maintenance and general administrative resources to ensure the efficient operation of the office and showroom.
- Support senior management by coordinating meetings, preparing business correspondence, monitoring office expenditure and assisting with administrative planning for business growth.
- Ensure compliance with Workplace Health and Safety (WHS) requirements, company policies and relevant administrative procedures across the office environment.
- Coordinate personnel activities, including recruitment, onboarding, training and staff supervision, etc.
- Identify opportunities to improve administrative processes and communication between office, production and sales functions to enhance overall operational efficiency.
Qualifications and Skills
- Diploma or Bachelor's degree.
- Minimum 3 years of full-time experience as an Office Manager or in a similar administrative management role.
- Demonstrated leadership skills with the ability to supervise and support administrative staff.
- Excellent organisational, time management and multitasking abilities in a fast-paced environment.
- Strong communication skills, with the ability to liaise effectively with internal and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and experience using business administration systems.
- Strong problem-solving skills, with the ability to prioritise competing tasks and work independently.
- Experience in the manufacturing, construction or building materials industry is highly desirable.
