Your Lovisa Opportunity

We are looking for a highly organised and proactive Legal Administration Assistant to join our Legal team at Lovisa’s Melbourne Support Centre.

This is a fantastic opportunity for someone looking to build their experience in legal, property or lease administration, while working closely with our Legal, Property Administration and Finance teams.

About the Role

In this role, you’ll support the day-to-day administration of our lease portfolio, ensuring documentation, payments and reporting are accurate, up to date and completed on time.

You’ll work closely with our General Counsel and wider Legal team, while also liaising with landlords, solicitors and internal stakeholders. No two days will be the same, making this a great opportunity for someone who enjoys being a jack of all trades, getting involved across the business and being willing to jump in wherever needed.

Key Responsibilities

Supporting the Legal and Lease Administration team with lease documentation and execution.
Assisting with bank guarantee applications and fit-out contributions.
Following up on payments and ensuring they are processed accurately and on time.
Supporting the Property Administration and Finance teams with lease and rental queries.
Maintaining and updating property databases, reports and systems, including ProLease.
Liaising with landlords, solicitors and internal departments regarding lease-related matters.
Preparing, updating and managing regular reports.
Acting as the primary Legal Department contact for Artificial Intelligence (AI) system development and maintenance.
Providing general administrative support to the Legal team.

About You

You’re an organised, reliable and detail-oriented person who enjoys being busy, taking ownership and getting things done. You’re comfortable managing multiple priorities and can confidently work both independently and as part of a close-knit team.

You’re also curious and comfortable with technology, with an interest in understanding how AI and automation can improve the way teams work.

Ideally, you will have:

Previous experience in legal, property, lease administration or a similar administrative role
An interest in developing your knowledge of contracts, leases and legal terminology.
Strong attention to detail and excellent organisational skills.
Experience with ProLease (preferred but not essential).
Strong written and verbal communication skills.
A proactive attitude and willingness to learn.
An interest in learning and supporting approved AI tools and simple workflow automation.
Strong computer and administrative skills.
A professional, positive and solutions-focused approach.
