Events Manager - Macquarie Park

This is a Permanent Part Time opportunity (22.8 hours per week) reporting directly to the Director of Fundraising and Development and will work onsite at our Macquarie Park Headquarters.

You’ll make a difference in this role by:
Event Planning & Coordination
- Managing and steward third-party supporters and donors to maximise fundraising revenue through events.
- Leading the planning, project management and execution of physical, online and fundraising events from concept to post-event follow-up.
- Working with stakeholders to understand event objectives, expectations and budget requirements.
- Coordinating event logistics including venues, catering, entertainment, transportation, guest management and event setup.
- Delivering engaging donor experiences and fundraising activations that support organisational fundraising goals.
- Collaborating with internal teams to integrate donor engagement and fundraising strategies into events.
Vendor & Supplier Management
- Sourcing, negotiating and managing relationships with event vendors and suppliers.
- Ensuring timely delivery of high-quality services and compliance with contractual agreements.
- Resolving vendor issues to ensure smooth event execution.
Team Management
- Coordinating event staff, volunteers and personnel, ensuring clear roles and responsibilities.
- Training, supervising and supporting teams to maintain high standards of service and professionalism.
Stakeholder Communication
- Act as the primary point of contact for event stakeholders.
- Providing regular updates on event progress, changes and expectations.
Event Marketing & Promotion
- Partnering with marketing teams to promote events across digital, print and social media channels.
- Developing event collateral including invitations, programs and signage.
- Supporting strategies to attract and engage attendees, sponsors and key stakeholders.
Budget & Financial Management
- Developing and manage event budgets, track expenses and report on fundraising outcomes.
- Monitoring costs to ensure events are delivered within budget while maintaining quality.
Risk Management & Compliance
- Managing permits, insurance and legal requirements for events.
- Identifying and mitigating risks while ensuring compliance with health and safety requirements.
Post-Event Evaluation & Reporting
- Supporting donor follow-up activities, including post-event donations and pledges.
- Overseeing post-event administration, reporting and budget reconciliation.
- Gathering feedback and evaluate event performance to drive continuous improvement.
Other Duties
- Undertaking any other reasonable duties as requested by management.
About You:
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field (Preferred).
- Minimum of 3-5 years of experience in event planning and coordination, with experience in both corporate and social events.
- Proven track record of managing and executing a variety of events (e.g., conferences, trade shows, fundraisers, webinars).
- Experience in managing event budgets and vendor relationships.
- Exceptional organisational and multitasking skills, with the ability to manage multiple events simultaneously.
- Strong attention to detail and the ability to problem-solve in high-pressure situations.
- Excellent communication skills, both written and verbal, with the ability to interact with clients, vendors, and staff effectively.
- Strong negotiation and vendor management skills.
- Creative mindset with the ability to come up with innovative solutions and ideas for events.
- Ability to work independently as well as part of a team.
- Proficient in Microsoft Office Suite and other event-related software (e.g., event registration platforms, CRM systems).
- Current valid driver’s licence.
- Valid Working With Children Check and National Criminal Record Check (or willingness to obtain).
- You are obliged to become familiar with, and comply with child protection policies and legislation, as amended from time to time.
