Full Job Description

The Mindsight Clinic is an established, vibrant and growing private multidisciplinary mental health clinic in Gordon, Sydney. We have a mix of psychiatrists, general practitioners, nurses and allied health clinicians. Our mission is to provide the highest quality mental health care to our patients and clients, and to improve mental health access and literacy in the broader community.

We have an exciting opportunity for a highly motivated, enthusiastic and passionate practice manager to join our team. You will not only manage staff, support clinicians and ensure the smooth running of the clinic, but have the opportunity to be involved with ongoing professional/career development as well as supporting and helping shape a vision that will move the practice into an organisation with a wider impact on the delivery of mental health care to the community.

About the Role

Apart from embodying the values and culture of the Mindsight Clinic, the role of the Practice Manager will involve the following:

1. Patient/Client Services

The Practice Manager will oversee the day to day operations of the clinic by managing their team of medical receptionists to ensure patients/clients have the most positive experience and levels of care possible. This will involve optimising administrative tasks, managing and secure medical records, and maintaining the clinic and reception environment. It will also involve advanced interpersonal and communication skills, being able to manage potentially distressed clients, dealing with clients' difficulties or complaints, and be a reassuring, confidence inspiring presence for both clients and staff.

2. Staff HR and Wellbeing Management

The Practice Manager will be involved in leading, managing and supervising reception/medical administration staff to ensure high-quality client care and efficient practice operations. They will be responsible to ensure full compliance with Australian HR laws and requirements, and creating a psychologically and emotionally healthy workplace. Other tasks include training, building wellbeing and performance, onboarding/orientation/reviews etc. The successful candidate will be able to articulate their understanding of what a healthy workplace culture entails and have contributed to building such a culture in previous workplaces.

3. Clinician support. retention and attraction

The Practice Manager will have as a priority the welfare and support of the clinicians contracted to the practice. They will get to know the practice and individual needs of each clinician and employ resources to ensure these needs are met as professionally and sustainably as possible. They will build and maintain clinician and staff morale, addressing difficulties and issues as they arise as quickly and efficiently as possible. The successful candidate will have an understanding of what makes a clinic attractive to other clinicians who are considering a place to practice, and work towards developing those characteristics at the Mindsight Clinic.

4. Business and financial management

The Practice manager will be able to ensure the business of the clinic is run as efficiently and cost effectively as possible. They will manage building, OH&S issues,office supplies etc. The successful candidate will have an understanding of how to continuously monitor and improve the practice’s performance and efficiency by analysing data and implementing process improvements.They will also support change management by initiating and participating in projects, updating policies, procedures and protocols; providing effective and efficient communication, assessing training needs and monitoring tasks and activities. Finally, they will have the ability to manage the financial performance of the clinic, maintain budgets, and generate financial reports for individual clinicians and the Director.

5. Business and practice development

The Practice Manager will be engaged with developing and strengthening relationships with external stakeholders, including referring doctors, hospitals, and other healthcare providers with the aim of building the business of the clinic as well as individual clinician's practices. They will work with the Drector in terms of the strategy for the growth and vision of the practice.

Well developed interpersonal skills particularly in the areas of recruiting, motivating and managing people
Strong leadership, problem solving and decision making skills; utilising time management, prioritisation and delegation strategies to achieve organisational goals.
Exceptional communication skills, be well organised, operate with a high level of empathic attunement and think in a solution focused manner.
Ability to work independently as well as collaboratively, valuing teamwork, transparency/reponsibility, and be comfortable asking questions whilst also exercising initiative, discretion and judgment to complete tasks.
High levels of proficiency with technology including experience with cloud based/papaerless practice management systems, complex billing arrangements with medicare, third party, DVA and others; ability to manage and maintain basic IT infrastructure requirements and issues
Personal characteristics and attitude that includes positivity, strong work ethic, valuing and modelling healthy workplace practices, integrity and ethical practice.

Work days and hours

This permanent part-time role of 30 hours per week excluding breaks (flexible across 4 or 5 days) will be based on location in the clinic. Hours may be expanded as negotiated with the Director, or as the clinic's needs change.

Skills and Experience - Essential

Minimum 3 years full time equivalent medical receptionist experience or similiar role
Excellent computer skills
Understanding of Medicare/Third Party/DVA etc claims processes
Permanent Australian Resident or Australian Citizen
Desirable - Experience with Xestro Practice Management Software or similiar
Desirable - Experience with mental health practice e.g. GP, psychiatrist, psychologist practices; private or public mental health hospital or other organisation
Desirable - Qualifications in Practice Management, Medical Administration, Business/Leadership, Human Resources (e.g. Certificate or Diploma) or willingness to undertake training in same
