About Donny Dairy Products

Donny Dairy Products is an Australian dairy-products business established in 2020 and based in Craigieburn, Victoria. The business produces and supplies a range of fresh dairy products, including feta, halloumi, baladiye cheese, country cheese, paneer and yoghurt.

Donny Dairy supplies its products to a broad range of customers across Australia, including restaurants, cafes, retailers, caterers, hospitals and food manufacturers across Australia. The business is committed to maintaining consistent product quality, hygiene and efficient operations through modern production processes.

As the business continues to develop its manufacturing and distribution operations, Donny Dairy is seeking an experienced Office Manager to coordinate and manage its administrative functions and office resources.

About the Position

The Office Manager will be responsible for organising and controlling the administrative functions of the business and coordinating office resources in support of Donny Dairy's dairy manufacturing, customer service, sales and distribution activities. The position will work closely with management, production, sales, warehouse and other personnel to ensure that administrative systems operate efficiently and that office activities support the day-to-day requirements of the dairy manufacturing business.

Key Responsibilities

The successful applicant will be responsible for:

· Plan, coordinate and review the administrative operations of the dairy manufacturing business.

· Manage and coordinate day-to-day office administration, ensuring efficient support to management and operational teams.

· Allocate office resources, equipment and administrative workloads and monitor the performance of administrative staff.

· Establish and maintain office procedures, systems and service standards to improve administrative efficiency.

· Maintain business records, correspondence, customer and supplier information, personnel records and other administrative documentation.

· Coordinate the preparation and processing of invoices, purchase records, accounts and other financial administration.

· Coordinate the procurement of office supplies, equipment and services and liaise with relevant suppliers and contractors.

· Support management with recruitment, staff induction, training, leave administration and other personnel-related activities.

· Coordinate administrative requirements relating to workplace health and safety, food-business compliance, audits and company procedures.

· Prepare administrative reports and correspondence, monitor office expenditure and identify opportunities to improve administrative systems and resource utilisation.

Skills and Experience

The successful applicant will ideally have:

AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Business Management, Office Management or a related discipline, or equivalent relevant experience.
Minimum 2 years’ demonstrated experience in an office management or senior administrative coordination role.
Experience managing office systems, records, personnel administration and business resources.
Experience working within a manufacturing, food production, dairy or FMCG environment will be highly regarded.
Experience coordinating staff and allocating administrative workloads.
Strong communication and interpersonal skills, with the ability to liaise effectively with management, employees, suppliers and customers.
