We are currently seeking an Executive Assistant & Office Manager to support 2-3 Partners and act as an administrative leader for the Melbourne office. We are looking for someone who prides themselves on operating with utmost integrity, is a pragmatic decision maker and an extremely reliable operator, with a passion for making the office a great place to work.
What the role entails:
Executive Assistance
Proactively managing the Partners' inboxes, ensuring emails are answered, actioned or delegated appropriately. Confidentiality is of critical importance
Managing diaries and coordinating arrangements for meetings and appointments
Scheduling air travel, booking hotels, cars and providing detailed itineraries for Partners
Preparing letters, reports and presentations
Maintaining a live ‘to do’ list for the Partners and ensuring regular catch ups happen to help drive partner productivity
Completing expense reconciliation, coding expense receipts and entering times and expenses in the relevant systems within the required deadlines
Entering new contacts, meetings and opportunities in the firm's marketing database and ensuring these are kept up to date
Involvement in producing proposals and some marketing/BD activities
Involvement in supporting projects and events
Coordinate and work effectively with the EA team and the Melbourne/Sydney offices more broadly
Office Management
This role is instrumental in ensuring the smooth running of the office. You will be responsible for co-ordinating and completing a wide range of administrative functions, including, but not limited to:
Coordinate and oversee the office’s facilities support, including building management, office amenities, kitchen and stationary stock
Establish and implement protocols to ensure that all correspondence is accurate and well presented
Prepare and develop agenda and minutes for Leadership team meeting
Support and work collaboratively with the Office Head and wider Partner team to prepare agendas and follow up items to action
Manage the office budget and approve monthly expenses relating to all office related costs
Organise internal events, such as farewells, End of Year Party, annual Offsite and other ad hoc celebrations
Sit in on our ‘Ministry of Fun’ (or MOF) team that runs bi-monthly social events, which may include for example Paint and Sip, summer boat parties or bowling
The successful candidate will have:
Minimum 3 to 4 years of experience in an Office Manager role
High-level problem-solving skills and an ability to learn new tasks quickly
Strong time management and organisational skills, together with the capacity to manage multiple tasks and conflicting priorities simultaneously
Strong EQ skills necessary to be the go-to for employee related queries
Ability to operate with minimal direction, prioritise work requirements and effectively manage time
Strong communication skills (oral & written), including negotiation skills
Ability to establish effective working relationships with a variety of people at different levels both internally and externally
Confidence to streamline or create processes
Strategically minded to look ahead in calendars and pull the correct industry specific information together
Experience completing tender submissions
Some experience working with marketing / profiling executives
Creative and able to think outside of the box when it comes to events
Resilient, tenacious and comfortable working in a fast paced, ever-changing environment
Proactivity and intuition to put yourself in Partner's shoes and anticipate and action on their needs
Experience working with a CRM platform, preferably Salesforce
