Event Coordinator

Simply Seated | Events, Design & Hire

Simply Seated is looking for a highly organised, proactive and detail-oriented Event Coordinator to join our team.

This is a fast-paced, hands-on role suited to someone who enjoys working with clients, coordinating multiple moving parts and making sure every detail is taken care of. You’ll work closely with our Design, Operations and Finance teams to coordinate events from the initial enquiry through to successful delivery and finalisation.

About the Role

As an Event Coordinator, you will be an important point of contact for our clients and will help manage the administrative and logistical requirements of events from start to finish.

Your responsibilities will include:

Responding promptly and professionally to client enquiries via email and phone
Understanding client requirements and assisting them with suitable products and event solutions
Preparing, processing and updating quotes and invoices
Following up quotes, confirmations, outstanding information and client payments
Coordinating event bookings and ensuring all details are accurately recorded
Maintaining accurate inventory allocations and checking product availability across upcoming events
Managing event logistics, including delivery and collection requirements, access details, timings and venue information
Maintaining accurate and up-to-date event records within company systems
Liaising with clients, venues, suppliers and internal teams as required
Working closely with the Design team to ensure styling and event requirements are correctly documented
Coordinating with the Operations team to ensure event logistics and delivery requirements are clear and achievable
Working with the Finance team to ensure invoices, payments and account information are accurate and up to date
Identifying potential issues early and working with the broader team to find solutions
Supporting the successful delivery of multiple events across a busy events calendar

About You

We’re looking for someone who is organised, confident and comfortable managing multiple priorities in a fast-moving environment.

You will ideally have:

Previous experience in events, event hire, hospitality, customer service, administration or a coordination role
Excellent written and verbal communication skills
Strong attention to detail and a high level of accuracy
Confidence speaking with clients over the phone and via email
Strong organisational and time-management skills
The ability to manage multiple events, deadlines and priorities simultaneously
Confidence working with quotes, invoices, payments and administrative systems
A proactive approach and willingness to follow up outstanding tasks
Strong problem-solving skills and the ability to remain calm when plans change
The ability to work collaboratively across different departments
Good computer skills and the ability to learn new systems quickly

Experience within the events, furniture hire, styling, exhibitions or hospitality industry would be highly regarded.
