Walcom Ngarrwa Secondary College is seeking a highly organised, professional and people-focused Office & HR Manager to lead the administration and human resources functions of our rapidly growing school.
As one of Victoria's newest secondary colleges, Walcom Ngarrwa is building a culture centred on Achievement, Belonging and Curiosity. The Office & HR Manager plays a critical role in supporting this vision by ensuring effective administration systems, exceptional customer service and high-quality HR practices that attract, support and retain outstanding staff.
This position provides leadership of the school's front office and administration functions while overseeing recruitment, onboarding, workforce management and HR compliance processes. As the College continues its significant growth journey towards becoming a full Year 7-12 secondary school, the Office & HR Manager will have the opportunity to help shape systems, processes and workplace culture that will support the school's future success.

The Office & HR Manager will work as a key member of the school leadership support team, providing operational leadership across administration, human resources, recruitment and workforce management functions.
The successful applicant will be a proactive problem solver who can manage competing priorities while maintaining a strong focus on service excellence, compliance and relationship building.
Human Resources Management
- Coordinate end to end recruitment processes for teaching, education support and leadership positions.
- Manage advertising, shortlisting administration, interview scheduling, employment offers and onboarding processes through EduPay.
- Support induction programs for new employees.
- Maintain accurate personnel records and employment documentation through tools such as Compass, Cases21 and EduPay.
- Monitor staffing establishment, workforce data and staffing movements.
- Support the implementation of workforce planning and succession planning initiatives.
- Assist leaders with performance and development cycle administration.
- Support employee wellbeing initiatives and staff recognition programs.
- Ensure compliance with Department of Education policies, industrial agreements and employment legislation.
- Serve as the key administrative contact for HR-related matters.
Recruitment and Onboarding
- Lead the administration of recruitment campaigns throughout the year.
- Coordinate referee checks, pre-employment requirements and employment documentation.
- Ensure a seamless onboarding experience for all new staff.
- Assist to develop and maintain induction resources and processes.
- Support graduate teachers, new employees and staff transitioning into leadership roles through effective onboarding systems.
Office Administration Leadership
- Lead and coordinate the day to day operations of the school's administration office.
- Supervise and support administration staff to ensure efficient and effective service delivery.
- Establish and maintain high quality administrative systems and processes including the use of Cases21, Compass and EduPay.
- Oversee reception and customer service functions to ensure a welcoming experience for students, families, staff and visitors.
- Coordinate school communications, correspondence and administrative workflows using available tools and technology.
- Support emergency management and operational readiness requirements.
Workforce Data and Compliance
- Manage staffing records, payroll documentation and personnel databases utilising Cases21 and EduPay.
- Ensure compliance with mandatory reporting, audit and workforce requirements.
- Monitor staff certifications, mandatory training and compliance obligations.
- Coordinate leave processes and workforce related administration.
- Prepare reports and workforce data for leadership and school council as required.
- Support the implementation of Department workforce initiatives and policies.
Financial and Operational Support
- Work collaboratively with the Business Manager and Principal Class Team to support workforce budgeting and staffing planning.
- Contribute to workforce forecasting aligned with the school's growth projections.
- Assist with contractor, volunteer and visitor management processes using both Compass and EduSafe.
- Support major school events, enrolment processes and operational priorities as required, including the use of Compass to support these activities.
Leadership and Culture
- Contribute positively to the development of a collaborative, professional and solutions focused workplace culture.
- Build strong relationships with staff and leaders across the College.
- Support the implementation of initiatives that promote employee engagement, wellbeing and retention.
- Demonstrate a commitment to continuous improvement through refining systems and identifying efficiencies.

- Other duties as directed by the Principal.
