Aligned to Urban Utilities’ corporate strategy and core operations, the People and External Relations group is a key enabling function in our business, responsible for driving performance and achievement of the organisation’s objectives through the delivery of effective engagement, partnerships and relationships with our people and key external stakeholders.
Reporting to the Head of Stakeholder Relations, the Engagement Officer is responsible for supporting across the Community, Government and Industry, and First Nations Relations teams as they lead the implementation of key programs including engagement for capital and operations and maintenance projects, the enterprise-wide Stakeholder Engagement Strategy and the enterprise-wide Reconciliation Action Plan (RAP). The implementation of these programs are critical to grow trusted relationships, drive reputational goals, build effective relationships with our communities and lead advocacy and influencing efforts to manage business opportunities and risks for the benefit of our 1.6 million customers and shareholding councils.
This role will primarily support the Head of Stakeholder Relations and the Managers of Community Relations and Government and Industry Relations to support timely response and records of enquiries and correspondence with community, government (elected and departmental), industry and key stakeholders; coordinate effective internal approval processes; support accurate data record and reporting; support document management and development across multiple IT systems and programs (including customer relationship management, document management system, program management, MS Suite); and coordinate internal and external meetings and events including supporting collation and formatting of communication collateral and briefings.
In this critical role within the Stakeholder Relations team, exceptional organisational and prioritisation skills is key as the Engagement Officer will support a team that operates in a dynamic environment that is underpinned by relationships, effective communication and proactive engagement . The team’s key internal stakeholders include the Board, CEO, executive and senior leadership teams and key external stakeholders include government (elected and departmental), First Nations leaders and key community , industry and stakeholder groups. This role is an integral member to be part of a team culture of collaboration, continuous improvement and effective relationships with an ability to work effectively on multiple priorities independently or as part of a team .
Your k ey responsibilities will include , but not be limited to :
Internal P artnerships – effective partnerships with Head of Stakeholder Relations, Managers of Community Relations and Government and Industry Relations to support executive and senior leadership team input into stakeholder meetings, approvals, event attendance, and timely and effective management of correspondence and enquiries ;
Response/correspondence management – monitor the government relations and community relations inboxes and allocated to the team to ensure respons e within the target timeframes , respond to general enquiries and ensure accurate records within the customer management database and Document Management Systems ;
Briefing documents and collateral – support the development, collation , formatting and distribution of key engagement documents including briefing s , agendas, pre- reading and presentat ions, while also supporting approval timeframes and progress ;
Meeting/event coordination and support – coordinate internal and external meetings with key stakeholders including workshops, events and industry events (which may include venue hire, logistics, catering, site access and PPE), support the administration of the Reconciliation Action P lan (RAP) SteerCo , Working Group and commitment tracker, and monitor and maintain a record of industry association events to coordinate attendance of CEO, Board and Executive ;
Administration – supporting the collation, formatting and production of ongoing reporting including customer management database dashboards, engagement dashboards and the team-wide Microsoft Project Work in Progress dashboard, including formatting key documents (strategies, reports, frameworks, toolkits and presentations) in programs such as Word, Excel and PPT.
