About the Role:
In this role, you will provide high-quality operational and administrative support to the service, ensuring the smooth day-to-day functioning of reception and administration processes. You will be responsible for delivering a professional and customer-focused reception service to internal and external stakeholders, visitors, and service providers, while assisting with client admissions and discharges, maintaining accurate records, and supporting service operations.
As an Administration Officer, you will play an important role in fostering a positive team environment and delivering excellent customer service. Working in line with Anglicare Southern Queensland's values, you will provide administrative guidance and support that contributes to the effective delivery of services and supports our commitment to making a positive difference in the community.
We are looking for a dedicated and organised Administration Officer to join our team in a full-time permanent position based in Strathpine. The role is rostered Monday to Friday, including a late-night shift every Tuesday.
Responsibilities
- Provide high-quality administrative and operational support to ensure the efficient day-to-day functioning of the service.
- Manage reception duties, including answering incoming calls, greeting visitors, and responding to enquiries in a professional and customer-focused manner.
- Coordinate client admissions and discharges, ensuring all documentation is prepared accurately and completed within required timeframes.
- Maintain client records, filing systems, and archives in accordance with organisational policies, procedures, and confidentiality requirements.
- Process data entry, word processing, correspondence, mail distribution, and document management tasks with a high level of accuracy.
- Support the maintenance and operation of office equipment, coordinate stationery and supply orders, and assist with general office administration.
- Assist managers and team members with administrative tasks, reporting requirements, and other service-related activities as required.
- Maintain information systems and databases, ensuring data integrity, security, and compliance with organisational standards.
- Support community engagement, service meetings, and client-focused initiatives while promoting positive relationships with internal and external stakeholders.
- Contribute to continuous improvement activities, workplace health and safety practices, and professional development to enhance service delivery and operational effectiveness.
Qualifications, Credentials and Other Requirements
- Current Blue Card (Working with Children Check)
- Current Queensland Driver Licence
- Current National Police Check
- Certificate in Business Administration or similar (desired)
