About the role:

The Executive Assistant / Branch Coordinator provides high quality executive and administrative support, enabling the effective operation of the branch. The role coordinates branch wide administrative workflows and information requests, supporting timely, accurate and well managed responses and effective linkage across units.

Working closely with the Office of the Deputy Secretary and Executive Assistants and Branch Coordinators across the eHealth Division, the role supports consistent processes, collaboration and communication across the branch, division and department.

About you:

Can you demonstrate the following?

Applies departmental policies, procedures and business plans to support the effective operation of the Branch.
Coordinates and resolves routine administrative and service delivery issues within established frameworks, escalating matters as required.
Prepares high‑quality briefs, correspondence and reports for the Chief Information Officer and branch leadership for review and consideration.
Liaises with internal stakeholders, including the Office of the Deputy Secretary and other branch coordinators, to support information flow, coordination and timely responses.
Provides specialist executive and branch‑level administrative support, including diary and email management, meeting coordination, workflow tracking, and document management.
Coordinates branch‑wide administrative processes and information requests to support efficient operations and effective linkage across units, the division and the department.

Qualifications / Specialist Expertise

A tertiary qualification in business administration, public administration, or a related discipline is desirable.

Mandatory:

Demonstrated experience providing executive and administrative support in a complex organisation, including diary management, meeting coordination, and preparation of briefs and correspondence.
Proven experience coordinating workflows and information requests, using sound judgement to manage priorities and ensure timely, accurate outcomes.

Desirable:

Experience working in a public sector environment, with familiarity with departmental governance, briefing and correspondence processes.
Strong working knowledge of corporate systems and tools, including M365 applications and document/workflow management systems.
