The Role
This is a hands-on role supporting the day-to-day operation of the ODPP’s Sydney Office, and providing assistance to regional offices as required. You will coordinate a range of activities including supplier engagement, building access and security, fleet and travel support, and general workplace services. You will work closely with internal stakeholders, service providers and contractors to resolve issues, respond to operational needs and ensure a high standard of service delivery across the organisation.
The role also supports procurement and financial administration activities, including processing requisitions, purchase requests and invoices, maintaining accurate records in finance systems, and assisting with monitoring expenditure and identifying opportunities for cost savings.
Key accountabilities:
Provide a range of administrative and support services for the Procurement and Facilities Unit, including process online orders, requisitions and non-standard store items, process and certify invoices for payment, prepare information for purchase orders and organise payments of goods and services requested by the Office.

Maintain the Contract Register. Perform data entry and publishing of Contract Award Notices (CAN) and Requests for Quotes (RFx), through relevant NSW Government systems.

Assist with completing the Annual Stocktake and maintain an ongoing list of items disposed of, in order to correctly reconcile the stocktake for fixed assets whilst maintaining an accurate asset listing.

Coordinate staff and visitor security access passes, including creation, update and audits and liaising with HR to administer criminal history checks as required.

Assist with building management issues within the Sydney Head Office and notifying the appropriate person or Agency to resolve any identified problems within service standards in a timely manner.

Coordinate work allocation and supervision of tradespersons in the Head Office building by providing appropriate induction and escort for those onsite; and ensure compliance with the ODPP's security policies.

- Provide information and assistance with facilities issues, including procuring goods and services, motor vehicle pool bookings and assist with fleet management, and flight and hire car bookings for staff undertaking travel for work purposes.
