Full Job Description

The Office of the Principal Commissioner is responsible for the effective leadership and management of the Commission to strategically position and influence government decisions to drive long-term, systemic improvements that are supported by strong collaborative relationships with stakeholders

The Office of the Principal Commissioner plays a vital and pivotal role in achieving the Commission's goal of identifying improvements to laws, policies, programs and services that lead to better outcomes, and to monitor reforms and recommendations to ensure continuous improvement for the safety and wellbeing of children and their families.

In this role you will have the following responsibilities and accountabilities:

Provide high level confidential secretarial and executive support to the Principal Commissioner in a fast-paced and sensitive environment, including diary and correspondence management, organising travel and meetings, and coordinating information and briefing materials.
Provide high level and confidential secretariat functions for internal and external governance groups and advisory councils, including managing calendar and coordinating briefs, speeches and talking points for the Principal Commissioner ahead of key events, stakeholder meetings, and engagements.
Assist in the preparation of Cabinet documents, estimates briefs, Questions on Notice and potential Parliamentary Questions ensuring parliamentary timelines and procedures are adhered to.
Coordinate the efficient and timely preparation of briefs and correspondence ensuring accuracy in content, structure and compliance, while monitoring the progress of work and follow up actions.
Establish and maintain effective and professional relationships with executive staff of Ministers, Directors-General, private sector organisations and NGOs, protecting the reputation of the Commission through professional external engagements.
Build and maintain strong working relationships with clients, the executives and employees of the Commission to coordinate the performance, procedures and processes of workflows throughout the Commission.
Maintain a high level of understanding of the Commission's activities, services and protocols and provide information to the Senior Executive Management on current and emerging issues.
Coordinate, review and implement change, after relevant consultation with the executive team, in relation to services and processes undertaken in the Executive Assistant roles throughout the Commission.
Identifying opportunities to enhance and implement innovative administrative systems and procedures within the Office of the Principal Commissioner, ensuring continuous improvement and operational efficiency.
Maintain a thorough knowledge of the protocols, procedures and systems that apply to the work of the Commission, particularly meetings bookings, event arrangements, formal acknowledgements in matters involving members of Parliament, officers from government departments, Office of the Governor, local authorities, and other organisations.
Uphold high standards of diplomacy, discretion, integrity and confidentiality.
Foster a workplace culture that supports and promotes diversity and inclusion in everyday work, by building a workforce that represents and reflects the diverse views, experiences and backgrounds of the community we serve.
