As our business continues to grow, we are seeking an organised, proactive and customer-focused Administrative & Customer Service Coordinator to become an integral member of our team. --- About the Role This is a diverse role suited to someone who enjoys variety, thrives in a fast-paced environment and takes pride in delivering exceptional customer service. Working closely with our Sales, Operations and Service teams, you will be responsible for supporting daily office operations while ensuring every customer interaction reflects the high standards of EMA GROUP. --- Key Responsibilities Administration Manage day-to-day office administration and maintain an efficient workplace. Process customer orders, quotations, invoices and purchase orders accurately. Maintain customer records and product information within our ERP/CRM systems. Coordinate incoming phone calls, emails and enquiries, ensuring prompt resolution or escalation. Prepare reports, documentation and general business correspondence. Assist with scheduling meetings, service bookings and travel arrangements where required. Maintain organised digital and physical filing systems. Provide administrative support across Sales, Operations and Management teams. Customer Service Deliver outstanding customer service via phone and email. Process customer orders and provide updates on order status, freight and delivery. Assist customers with product enquiries, technical documentation and warranty processes. Liaise with suppliers, freight companies and service technicians to ensure efficient order fulfilment. Resolve customer enquiries professionally and efficiently. Support the sales team with quotations, product information and customer follow-up. Build long-term customer relationships through proactive communication and attention to detail. Gather customer feedback to assist with continuous improvement initiatives. --- About You You are someone who enjoys solving problems, takes ownership of your work and genuinely enjoys helping customers. You'll ideally possess: Previous experience in an administration, customer service or internal sales role. Excellent written and verbal communication skills. Strong organisational skills with the ability to manage multiple priorities. High attention to detail and accuracy. Confidence using Microsoft Office (Outlook, Excel and Word). Experience using ERP or CRM software (Tall Emu experience highly regarded). Experience within hospitality equipment, coffee, wholesale distribution or technical products will be viewed favourably.
