Full Job Description

You’ll make an impact by:

Delivering high-level confidential support to the Chief Information Officer, ensuring priorities, objectives and deliverables are effectively managed

Managing complex calendars, executive meetings, travel arrangements, correspondence and communications

Acting as a trusted liaison between the CIO, Executive Committee members, Board stakeholders, Senior Leaders and external partners

Leveraging ChatGPT and AI-assisted workflows to streamline administrative operations, enhance communication quality, accelerate research and document preparation, and improve productivity across executive support and IT-related functions

Supporting the effective flow of information, communication and decision-making across the division & Identifying opportunities to improve processes and ways of working to increase efficiency across the division

Coordinating end-to-end Board and Committee process, ensuring papers prepared within timeframes, submissions meet strict deadlines, actions tracked & completed within complex and evolving workflows

Coordinating divisional events, leadership meetings, offsites including presentations, documentation and team communications

Oversight of desktop support/ level 1 support requests for Executives and Executive Assistant cohort to ensure seamless support

Building strong working relationships across the organisation while maintaining absolute confidentiality and professionalism

Do things differently with us

This is far more than a traditional Executive Assistant role. You’ll operate as a strategic partner to the CIO, balancing high-level executive support with hands-on coordination and operational administration that keeps a fast-paced technology division running effectively.

You’ll work closely with senior leaders across the business, helping to manage priorities, improve workflows and create structure in a dynamic environment. Success in this role requires someone who is proactive, highly organised, resilient and confident working at executive level, while also willing to take ownership of the day-to-day administration that enables leaders and teams to perform at their best.

To succeed in this role, you will have:

Significant experience supporting senior executives within a complex corporate environment

Advanced skills across Microsoft Office Suite including Word, Excel, PowerPoint, Teams and productivity tools

Exceptional organisational and time management skills with the ability to manage competing priorities simultaneously

Strong written and verbal communication skills with a high level of professionalism and discretion

Proven ability to build trusted relationships with senior stakeholders and executives

Experience coordinating executive meetings, travel, communications and divisional administration

A proactive mindset with the confidence to improve processes and challenge inefficient ways of working

High attention to detail and the ability to remain calm and effective under pressure

Sound judgement, integrity and an exceptional approach to confidentiality

A collaborative and supportive approach with a willingness to assist across executive and administrative functions as required
