The Executive Assistant provides dedicated, high-trust support to the Vice President and the Operations Director. This is a confidential, executive-facing role focused on enabling the work of these two leaders.
The role combines proactive calendar and correspondence management, meeting and travel coordination, and project support for the two executives, together with day-to-day office administration and facilities coordination across Victaulic's three ANZ sites.
Provide high-level administrative and executive support to the Vice President and Operations Director, including complex calendar and inbox management.
Coordinate meetings, prepare agendas, presentations, board papers, and minutes, and track leadership action items to completion.
Manage domestic and international travel arrangements, itineraries, expense reporting, and executive correspondence.
Serve as the primary liaison between executives and internal/external stakeholders, handling sensitive and confidential information with discretion.
Oversee day-to-day office administration across ANZ sites, including records management, office supplies, visitor coordination, and general office support.
Coordinate facilities management activities across three ANZ locations, including maintenance, security, vendor relationships, office projects, and workplace services.
Support business projects, leadership events, team-building activities, and cross-functional coordination with HR, Finance, and other departments.
Champion health, safety, and environmental (HS&E) compliance, promote a safe workplace, and ensure adherence to company policies, procedures, and ethical standards.
Proven experience supporting senior executives (VP/Director level) as an Executive or Personal Assistant.
Strong experience managing complex calendars, travel arrangements, and confidential communications.
Experience coordinating international business travel and executive schedules.
Exposure to office administration and facilities coordination across multiple sites is an advantage.
Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint, and Teams)
Excellent communication and stakeholder management skills.
Highly organised, discreet, and able to handle sensitive information with confidentiality.
Proactive, resilient, detail-oriented, and able to manage competing priorities in a fast-paced environment.
