About Viti Freight Line Pty Ltd
Viti Freight Line Pty Ltd is a growing heavy vehicle transport and freight business operating a fleet of approximately 40 trucks. We are seeking an experienced Compliance Officer & Fleet Manager to take responsibility for fleet compliance, driver compliance, Chain of Responsibility (CoR), WHS, maintenance coordination and customer transport requirements.
This is a hands-on position suited to someone with strong experience in the Australian heavy vehicle transport industry who understands that compliance applies across the entire operation — from the driver and truck to the office, workshop, yard, contractors and customers.
About the Role
As our Compliance Officer & Fleet Manager, you will be responsible for ensuring our fleet and transport operations are safe, compliant, well documented and efficiently managed.
You will work closely with management, drivers, mechanics, operations staff, contractors and customers.
Your key responsibilities will include:
Fleet Management
- Manage compliance for approximately 40 trucks and associated trailers.
- Maintain vehicle registration, inspection and compliance records.
- Monitor servicing, preventative maintenance and repairs.
- Monitor vehicle defects and ensure defects are properly rectified.
- Maintain individual compliance files for every truck and trailer.
- Coordinate with mechanics and external workshops.
- Ensure vehicles are safe and roadworthy before being placed into service.
- Monitor tyres, brakes, suspension, steering, lights, safety equipment and other critical components.
Driver Compliance
- Maintain individual compliance files for all drivers.
- Monitor heavy vehicle licences, expiry dates and licence conditions.
- Manage driver inductions and competency records.
- Coordinate driver training and refresher training.
- Monitor driver performance and compliance.
- Manage driver breaches and corrective actions.
- Ensure drivers understand and follow company safety and compliance procedures.
Fatigue Management
- Monitor driver work and rest requirements.
- Review fatigue records and identify potential breaches.
- Work with operations and scheduling staff to ensure realistic and compliant schedules.
- Investigate fatigue-related issues.
- Maintain fatigue-management records and conduct regular audits.
Chain of Responsibility (CoR)
- Manage and monitor the company's CoR obligations.
- Conduct CoR risk assessments and internal audits.
- Identify risks involving fatigue, speed, mass, dimensions, loading and vehicle safety.
- Ensure company procedures and customer requirements do not create unsafe transport practices.
- Provide CoR training and guidance to employees and contractors.
- Maintain evidence of compliance and corrective actions.
Mass, Dimensions & Load Restraint
- Monitor GVM, GCM, axle limits and payload requirements.
- Review weighbridge and mass-related records.
- Investigate overloads and mass breaches.
- Monitor loading practices.
- Ensure appropriate load-restraint procedures are followed.
- Ensure drivers are appropriately trained in load restraint.
- Work with customers where loading practices create compliance or safety risks.
Customer Responsibilities
A major part of this role will involve dealing directly with customers and customer sites.
You will be expected to:
- Review customer transport and delivery requirements.
- Identify unsafe or unrealistic customer requirements.
- Communicate CoR responsibilities to customers.
- Address issues involving loading, unloading, mass, fatigue and delivery scheduling.
- Review customer-site safety requirements.
- Investigate customer-related transport incidents.
- Maintain professional relationships with customers while protecting Viti Freight Line's safety and compliance obligations.
- Escalate serious compliance concerns to management.
- Work with customers to implement corrective actions.
- Ensure customer requirements do not encourage drivers to speed, exceed legal work hours, operate unsafe vehicles or breach mass/load requirements.
You must be comfortable professionally telling a customer when a requested transport arrangement cannot be safely or legally undertaken.
Yard & Workshop Responsibilities
You will also oversee compliance and safety within our Vineyard depot and yard, including:
- Yard inspections.
- Truck and trailer parking.
- Traffic management.
- Reversing controls.
- Pedestrian safety.
- Loading and unloading areas.
- Coupling and uncoupling procedures.
- Vehicle immobilisation.
- Workshop safety.
- PPE requirements.
- Emergency equipment.
- Fire and spill controls.
- Hazard identification and corrective actions.
Incident & Safety Management
You will manage and investigate:
- Truck accidents.
- Near misses.
- Driver incidents.
- Vehicle defects.
- Load shifts.
- Overloads.
- Fatigue breaches.
- Speeding incidents.
- Customer-site incidents.
- Property damage.
- WHS incidents.
You will ensure incidents are properly:
Reported → Investigated → Corrective action implemented → Followed up → Closed.
Auditing & Compliance Records
You will maintain and regularly audit:
- Truck files.
- Trailer files.
- Driver files.
- Licence records.
- Training records.
- Maintenance records.
- Defect records.
- Fatigue records.
- Mass records.
- Load-restraint records.
- CoR documentation.
- Contractor records.
- Customer compliance records.
- Incident reports.
- Corrective-action registers.
- Compliance calendars.
The successful applicant will be expected to ensure that if management, a customer or regulator asks for compliance evidence, the information can be located quickly and accurately.
Contractors & Subcontractors
Where Viti Freight Line engages subcontractors or owner-drivers, you will assist with verifying and monitoring:
- Driver licences.
- Vehicle registration.
- Vehicle condition.
- Insurance.
- Maintenance.
- Training.
- Fatigue compliance.
- CoR compliance.
- Safety requirements.
- Required documentation.
What We're Looking For
The successful applicant will ideally have:
- Previous experience in heavy vehicle transport.
- Fleet management experience.
- Transport compliance experience.
- Strong understanding of Heavy Vehicle National Law (HVNL).
- Strong understanding of Chain of Responsibility.
- Knowledge of fatigue management.
- Knowledge of mass and dimension requirements.
- Knowledge of load restraint.
- WHS experience.
- Experience managing or working with heavy vehicle drivers.
- Experience dealing with customers.
- Excellent organisational and record-keeping skills.
- Strong communication skills.
- Strong attention to detail.
- Ability to conduct audits and investigations.
- Ability to work independently.
- Ability to identify compliance risks and implement solutions.
Experience with NHVAS/HVA, electronic work diaries, GPS/fleet-management systems or transport compliance software will be highly regarded.
