Administration & Finance Coordinator

Bookkeeping | Client Service | Scheduling | Business Support

Location: Canberra, ACT
Employment Type: Full-Time

We're looking for an energetic, highly organised Administration & Finance Coordinator to become the operational heartbeat of our growing business group.

Supporting two businesses operating under the one Group structure, this is a diverse and rewarding role that combines bookkeeping, payroll, customer service, scheduling, and business administration. No two days are the same, and you'll play a central role in keeping the business running smoothly.

This position is ideal for someone who enjoys variety, takes ownership of their work, loves technology, and thrives in a fast-paced small business environment.

What You'll Be Doing

Finance & Bookkeeping

Manage Accounts Receivable from quote through to invoice, payment and debt collection.
Process Accounts Payable, supplier invoices and payment runs.
Manage electronic payment batches and banking files.
Support cashflow management and financial reporting.
Maintain accurate bookkeeping records and financial data.

Payroll Administration

Process payroll accurately and on time.
Manage Single Touch Payroll (STP) reporting.
Process superannuation contributions and payroll compliance requirements.
Maintain employee payroll records and documentation.

Client Service & Virtual Reception

Act as the first point of contact for client enquiries.
Manage our cloud-based phone and messaging systems.
Oversee automated customer communication workflows, SMS messaging and call-routing systems.
Deliver outstanding customer service across phone, email and digital channels.

Scheduling & Coordination

Schedule quotations, site visits and work orders through Tradify.
Coordinate calendars and workflow across operational teams.
Liaise with clients regarding appointments and job progress.
Ensure scheduling information remains accurate and up to date.

Administration & Business Support

Manage shared business inboxes and communications.
Maintain document management systems within Google Drive.
Assist the Managing Director with estimates, proposals and tender submissions.
Support commercial and government contract administration activities.
Contribute to process improvements and business efficiency initiatives.

What We're Looking For

Required Qualities

Highly organised with exceptional attention to detail.
Proactive and self-motivated.
Excellent communicator with strong customer service skills.
Technologically competent and quick to learn new systems.
Customer-focused and solutions-oriented.
Able to manage multiple priorities while maintaining accuracy and professionalism.

Desired Experience

Bookkeeping, finance administration or accounts experience.
Accounts Payable and Accounts Receivable management.
Payroll processing and STP reporting.
Experience using cloud-based business software.
Strong Microsoft Office and/or Google Workspace skills.
Experience with platforms such as Xero, Tradify, Podium or similar systems is highly regarded.
