Holmesglen Institute is a leading provider of vocational and higher education in Victoria, with over 40 years of experience and 140,000 graduates. The Opportunity:

Full-Time | Ongoing contract of employment.
PW3 $64,076 - $69,189 per annum pro rata + 12% super + leave loading (dependent on qualifications and experience).
Moorabbin Campus – onsite parking with close proximity to public transport.

The Social Inclusion and Vocational College team supports young people who may face barriers to mainstream education, providing flexible, inclusive and supportive learning environments that build confidence, employability skills and pathways into further education, training or employment.

As the Administrative Officer, you will play a key role in supporting the day-to-day operations of the department and creating a positive experience for students, staff and stakeholders. As a first point of contact, you will provide responsive customer service, assist with enrolments and student administration, maintain accurate records and systems, and coordinate a range of administrative processes.

This is a great opportunity for an organised, service-focused administrator who enjoys working with people and wants to contribute to meaningful student outcomes in a supportive education environment.

As an Administrative Officer, you will:

As the first point of contact provide excellent customer service, including accurate and up to date reception and information services and advice, in relation to the Institute’s courses and relevant processes.
Provide confidential, high-level administrative and operational support to department management and staff, including diary coordination, document and records management, financial and procurement processing, distribution of materials, and the collation, maintenance and reporting of information and databases.
Develop and maintain accurate and detailed knowledge of courses and programs offered by the department specifically, and the Institute generally, and provide appropriate information to current and prospective students.
Maintain course currency by attending information sessions, meetings and/or systematically viewing minutes of meetings and website updates.
Assist with the administration of, and actively participate in, Institute and department orientation days, open days and other promotional events.

To be successful, you’ll have:

Certificate IV in business administration (or equivalent) or related field, and relevant work experience preferably in the education sector.
Demonstrated knowledge and experience in contemporary office management, administrative operations, office finance, records management, data administration, quality systems and continuous improvement within a complex educational or service-driven environment.
Understanding of student enrolment and administration processes, academic administration, educational governance, confidentiality and privacy principles, with familiarity in student management systems and policies relating to student rights and responsibilities.
Strong organisational and technological skills, including proficiency in MS Office, database and internet-based systems, with the ability to manage workflows, prioritise competing demands, maintain high accuracy, and meet service and reporting deadlines.
Proven ability to work independently and collaboratively under pressure, manage multiple priorities, demonstrate initiative and self-direction, and apply cultural and linguistic awareness to support diverse student cohorts and maintain high professional standards.

WWCC and Police Check:

Appointment to this position is dependent on obtaining a Victorian ‘employee’ Working with Children Check, and a valid Police Check within the last 12 months.
