Role Purpose
As Office Coordinator, your role is to support the Shared Services Lead and help ensure the smooth, efficient, and professional running of the Jerrabomberra location, while also helping remotely manage the Sydney office. The role supports daily administrative operations, coordinates support services, assists with onboarding and offboarding, supports People & Culture activities, provides board liaison and meeting support, welcomes site visitors, coordinates visitor catering, and helps maintain productive, safe, and well-organised workspaces for team members and guests.
The role operates as a trusted coordination and support point across the business, working closely with the Shared Services Lead and relevant teams to keep day-to-day activity organised, responsive, and moving. It requires someone who is practical, proactive, discreet, and comfortable balancing varied requests with care, consistency, and good judgement.
Responsibilities
Office Administrative Operations
- Manage day-to-day office operations and workflows.
- Maintain office systems, procedures, and documentation.
- Oversee general clerical duties, filing, ordering, inventory, mail handling, and correspondence distribution.
- Implement and monitor green office practices aligned with the company’s environmental values.
- Identify and implement improvements to office efficiency, systems, and ways of working.
Financial, Legal & Resource Support
- Monitor and order office supplies and equipment.
- Process purchase orders, invoices, and expense reports.
- Support budgeting and cost tracking for office expenses.
- Facilitate the reviewing, signing, and filing of legal agreements.
Facilities & Vendor Management
- Coordinate office maintenance, repairs, cleaning services, meeting rooms, and facilities requests.
- Maintain shared kitchen areas and amenities stock, ensuring office consumables are regularly checked, replenished, and well presented.
- Manage relationships with suppliers, service providers, building contacts, and other vendors.
- Ensure the office environment is safe, clean, compliant, organised, and welcoming for employees and visitors.
Staff Support & Coordination
- Provide practical day-to-day support to team members and leaders.
- Coordinate calendars, meeting rooms, internal communications, and follow-up where needed.
- Support the Shared Services Lead and leadership team with general administrative coordination.
People & Culture Support
- Assist with onboarding, induction, and offboarding activities.
- Support employee engagement, events, celebrations, and culture moments.
- Help prepare and coordinate simple People & Culture communications where required.
Communication
- Handle incoming calls, emails, visitor greetings, site meet-and-greets, and general office enquiries.
- Ensure consistent internal and external communication standards.
- Act as a point of contact for general enquiries, office support, and day-to-day coordination.
- Coordinate board liaison support, including meeting logistics, visitor coordination, catering, and related follow-up where required.
Compliance & Recordkeeping
- Maintain company records, licences, policies, compliance documents, and office documentation.
- Ensure workplace health and safety policies are followed, and WHS/OHS records are kept up to date.
- Support audits, inspections, and reporting by ensuring records and data are accurate and accessible.
Problem Solving & Office Culture
- Resolve office and coordination issues quickly and efficiently to maintain workflow.
- Foster a positive, organised, and team-oriented office culture.
- Identify and implement improvements in office efficiency, experience, and ways of working.
Travel Management
- Support travel coordination including accommodation, transport, itineraries, and meeting logistics.
- Assist team members with domestic travel coordination, recommendations, and practical travel support where required.
Skills and Competencies
- Certificate or diploma in Business Administration, Office Management, or a related field is preferred.
- On-the-job experience and systems knowledge are highly valued and may outweigh formal education.
- Experience supporting teams, handling suppliers, coordinating office services, and managing daily office tasks.
- Prior exposure to finance administration, onboarding, offboarding, employee engagement, or basic People and Culture support is highly regarded.
- Strong office administration, scheduling, coordination, and prioritisation skills.
- Clear written and verbal communication skills.
- Strong time management and ability to manage competing priorities calmly and effectively.
- Proficiency in Microsoft Office and confidence using calendar, document management, expense, and collaboration systems.
- Strong vendor, supplier, facilities, and stakeholder coordination skills.
- Highly organised, detail oriented, proactive, solution focused, and adaptable under pressure.
- Discreet with confidential information and sensitive organisational matters.
- Strong interpersonal and team support skills, with a warm, practical, and service-oriented approach.
