Role Description
The Procurement Administrator is responsible for all procurement roles in administration, sourcing, negotiation, contract management, supplier relationship management. The role requires a strong understanding of developing and issuing EOI’s, RFQ’s and RFT’s, through to prequalifying and evaluating vendors, contract management, projects administration and management. Additionally, the role will ensure asset administration management and all other procurement subject matter areas are maintained at a high level to produce established processes and performing problem solving, process improvement, analysis and refinement using established processes, tools and techniques. These activities require a strong understanding of market trends, organisational objectives and supplier capabilities to ensure success.
This role is based in Sydney office.
Deliver high-quality procurement services that meet or exceed client expectations, service levels, and performance benchmarks.
Demonstrate and promote Evolve FM's values, mission, and vision in all procurement activities.
Support the Director and National Procurement Manager in delivering procurement initiatives and meeting key deadlines.
Assist Client Relationship Managers by providing procurement expertise, stakeholder support, and performance reporting data.
Prepare and manage procurement documentation, including Expressions of Interest (EOIs), Requests for Quotation (RFQs), and Requests for Tender (RFTs).
Conduct market research, supplier evaluations, and commercial analysis to achieve the best value for money while managing cost, quality, and risk.
Lead procurement planning and execute the annual Procurement Plan in line with client requirements and category strategies.
Manage ethical and compliant sourcing activities to ensure the timely procurement of goods and services.
Build and maintain strong relationships with internal and external stakeholders, ensuring effective engagement throughout the procurement process.
Monitor supplier performance and contract compliance against agreed service levels and key performance indicators.
Ensure all procurement contracts accurately reflect the obligations of suppliers, clients, and Evolve FM, maintaining high standards of governance and documentation.
Identify and implement process improvements that drive operational efficiency, continuous improvement, and procurement best practice.
Contribute to a high-performing procurement team by providing leadership, guidance, and specialist procurement expertise.
Strong organisational, planning, and time management skills with the ability to manage multiple priorities.
High level of attention to detail and accuracy in a fast-paced environment.
Advanced proficiency in Microsoft Office Suite, particularly Microsoft Excel.
Excellent written and verbal communication skills, with the ability to engage effectively with a wide range of stakeholders.
Strong analytical, problem-solving, and decision-making capabilities.
Ability to handle confidential and sensitive information with professionalism and discretion.
