About Us: Rapid Passive Fire Pty Ltd is a specialist passive fire protection company providing installation, inspection and maintenance services across commercial, industrial and residential projects throughout Melbourne. We are committed to delivering compliant, high-quality passive fire protection solutions and have established a strong reputation within the construction industry. Due to continued business growth, we are seeking an experienced Office Manager to support the efficient operation of our business.

Role Overview: This full-time position offers 40 hours per week and is responsible for overseeing the day-to-day administrative operations of the company. The successful candidate will coordinate office systems and procedures, support project administration, manage business documentation and records, and assist management in ensuring the efficient operation of the organisation. Previous experience within the construction, trades or building services industry will be highly regarded.

Key Responsibilities:

Organise and coordinate the day-to-day administrative operations of the business.
Develop, implement and review office procedures, systems and administrative processes to improve operational efficiency.
Coordinate project scheduling, technician allocations and workflow requirements across multiple projects.
Oversee accounts payable and receivable processes and assist with payroll administration and financial record keeping.
Liaise with clients, suppliers, contractors and employees regarding operational and administrative matters.
Assist management with operational planning, compliance requirements and business administration functions.

Skills & Qualifications:

At least a Diploma qualification in a relevant field.
At least 2 years of relevant experience in office management. Experience within the construction, trades or building services industry will be highly regarded.
Strong organisational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office and office management systems.
Ability to work independently and manage multiple priorities.
