OFFICE MANAGER

Salary: AUD $75,000 – $85,000 per annum plus superannuation

About the Business

Stylepoint is an established Melbourne-based property styling and interior design business operating from Thomastown, Victoria. Established almost 20 years ago, the business has grown from a niche property styling service in Melbourne’s northern suburbs into a comprehensive styling and design business servicing properties across Greater Melbourne. Stylepoint advises that it transforms more than 300 homes each year.

Stylepoint provides a broad range of property-related services, including property styling, restyling, interior design, project management and renovation support, relocation services, property care and additional property preparation services. Its operations involve coordinating stylists, designers, project managers, logistics personnel, trades and other professionals, together with managing furniture, artwork and accessories used across its styling projects.

The business manages projects from initial quotation through to installation, styling and final removal of items, while also coordinating project timelines, trades, client requirements and property preparation activities. Stylepoint operates from a substantial warehouse in Melbourne’s northern suburbs and maintains an extensive collection of furniture, artwork and styling items used across its projects.

Given the scale and diversity of these operations, effective administration and office coordination are important to supporting the business's day-to-day activities, including record management, staff and resource coordination, supplier and contractor liaison, office systems, documentation and general administrative functions.

To support these ongoing operational and administrative requirements and ensure its office functions and resources are effectively organised and controlled, Stylepoint is seeking to appoint a dedicated full-time Office Manager.

About the Role

The Office Manager will be responsible for organising and controlling the functions and resources of the office, including administrative systems, office personnel, business records, accounts, equipment and general office operations.

The position requires a highly organised and responsible individual capable of coordinating office services, supervising administrative activities, managing personnel-related processes and ensuring that administrative operations are carried out efficiently and in accordance with relevant business policies, procedures and legislative requirements.

Key Responsibilities

The Office Manager will be responsible for:

Contributing to the planning and review of office services, establishing administrative priorities and maintaining appropriate office service standards.
Allocating human resources, office space and equipment to support efficient day-to-day business operations.
Assigning work to administrative staff and monitoring work performance, providing direction, guidance and supervision where required.
Managing office records and accounts, including invoices, correspondence, employee records, payroll documentation, supplier records and other administrative information.
Liaising with professionals and external service providers, including accountants, suppliers, contractors and other relevant parties, to coordinate office business and resolve administrative matters.
Ensuring office equipment, systems and supplies are appropriately maintained, serviced and replenished according to operational requirements.
Ensuring compliance with applicable occupational health and safety requirements and maintaining appropriate workplace and administrative documentation.
Ensuring office activities comply with relevant government legislation, internal policies, procedures and business requirements.
Coordinating personnel activities, including recruitment administration, onboarding, staff training, performance management, payroll administration and employee supervision.
Maintaining organised electronic and physical filing systems and ensuring business, financial and employee information is accurate, secure and appropriately maintained.
Preparing reports, correspondence, spreadsheets, internal documentation and other administrative materials for management.
Monitoring administrative procedures and identifying opportunities to improve office systems, workflow, record management and overall operational efficiency.
Coordinating meetings, appointments, internal communications and other administrative arrangements where required.
Supporting management with general administrative planning, reporting and coordination to ensure the efficient operation of the business.

Qualifications and Experience

Applicants should possess:

An AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Office Management, Management or a related discipline; or
At least three years of relevant experience may substitute for the formal qualification. In some instances, relevant experience and/or on-the-job training may be required in addition to the formal qualification.

Applicants should also demonstrate:

Relevant office management, business administration or administrative coordination experience.
Strong organisational, leadership and time-management skills.
Demonstrated ability to supervise staff and coordinate administrative activities.
Experience maintaining office records, accounts, employee documentation and general business information.
Strong written and verbal communication skills.
Competency in Microsoft Office and general administrative and record-management systems.
Ability to communicate effectively with management, employees, suppliers, contractors and external professionals.
Knowledge of workplace health and safety and relevant administrative compliance requirements.
Strong attention to detail and ability to maintain accurate and confidential business records.
Ability to work independently, establish priorities and effectively manage competing administrative requirements.

Work Conditions
