About the role:
This is an opportunity to be part of a busy, dynamic and customer-focused team supporting the delivery of Planning and Building services to the Darebin community.
As an Administration Officer, provide operational administrative support, respond to customer enquiries, maintain accurate records and assist with statutory business processes. You will be a key point of contact for customers and stakeholders, helping to ensure enquiries are managed professionally, information is accurately maintained and services are delivered in a timely manner.
Success in this role will require strong organisational skills, attention to detail, a commitment to customer service and the ability to work collaboratively across various teams, while managing competing priorities in a fast-paced environment.
You will:
- Deliver high-quality administrative and customer service support across the City Development department, respond to enquiries, requests and correspondence in a timely, accurate and professional manner.
- Maintain accurate records, registers and information systems to support statutory obligations, business operations, reporting requirements and compliance with Council policies and procedures.
- Build positive working relationships with internal stakeholders, external agencies and members of the public, providing clear, consistent information and supporting the effective coordination of Planning and Building matters.
- Prepare and process documentation, correspondence and records in accordance with legislative requirements, departmental procedures and service standards.
- Contribute to the effective delivery of Planning and Building services by supporting administrative workflows, monitoring tasks and assisting with the timely completion of business processes.
- Identify opportunities to improve administrative processes, systems and templates, enhancing efficiency, consistency and customer service outcomes across the team.
- Work collaboratively within a team environment, sharing knowledge, supporting colleagues and contributing to a positive, customer-focused workplace culture.
About you:

To be successful in this role, you will bring:
- Demonstrated experience in an administrative and/or customer service role, preferably within a local government environment.
- Well-developed administrative and organisational skills, including the ability to manage competing priorities, maintain accurate records and databases and prepare professional correspondence and documentation.
- Strong customer service, communication and interpersonal skills, with the ability to provide timely, professional and courteous responses to a range of internal and external enquiries.
- Sound computer literacy, including proficiency in Microsoft Office applications and experience using electronic records, data management or customer request systems.
- Strong attention to detail and a commitment to maintaining high standards of accuracy, quality and confidentiality in all aspects of work.
- Demonstrated ability to work both independently and collaboratively within a team environment, contributing to positive workplace relationships and service outcomes.
- Ability to identify opportunities for continuous improvement and contribute to the development of efficient administrative processes and service practices.
