MBM is looking for an organised, proactive and approachable Office Manager and Bidding Coordinator to join our Melbourne team on a 6-month fixed-term contract to provide maternity leave cover, with the possibility of extending for a further 6 months.

Purpose of the Position
Working 5 days per week, this role is responsible for supporting the smooth day-to-day running of the Melbourne office and providing practical administrative and operational support across the business.
You will report to the National Operations Manager and work closely with the Melbourne Directors, as well as colleagues across other MBM offices.
About the role
This is a hands-on office management role suited to someone who enjoys being at the centre of a busy professional office environment.
Your responsibilities will include:
answering phones and providing a professional first point of contact;
greeting visitors and maintaining a welcoming office environment;
overseeing general office operations, including stationery, kitchen supplies, groceries, couriers and parcels;
managing incoming and outgoing mail;
ensuring meeting rooms are clean, organised and ready for meetings and events;
assisting with internal staff events and workplace initiatives;
working with the Marketing team on internal and client events;
organising catering for internal and external functions;
assisting the National Operations Manager with any tasks as required;
supporting the bidding team with fee proposals and other bid-related administration as required; and
supporting office WHS requirements, including general awareness, compliance with procedures and incident reporting.
Skills and Experiences:
About you
We are looking for someone who is:
- highly organised and able to manage multiple priorities;
- proactive and comfortable working independently;
- professional, approachable and confident dealing with staff, clients and visitors;
- experienced in office administration or office management;
- comfortable working in a fast-paced professional services environment;
- confident using Microsoft Office and general business systems, knowledge of Canva will be advantageous;
- detail-oriented and reliable;
- able to work collaboratively across teams and locations; and
- willing to take ownership of day-to-day office operations.
Working arrangement
This is a 6-month fixed-term maternity leave cover position, working 5 days per week from our Melbourne office.
The successful candidate will need to be available to work onsite as the role is focused on office operations and team support.
