About the Role

We are looking for an experienced, highly organised and proactive Receptionist / Client Relationship Team Member to join our growing team.

This role is ideal for someone who thrives in a busy, fast-paced environment and enjoys juggling multiple priorities. You will be responsible for managing busy clinician diaries, coordinating appointments, responding to enquiries and ensuring every client receives a warm and professional experience.

We are particularly interested in candidates with experience using Halaxy or a similar healthcare/allied health practice-management system.

Key Responsibilities

Provide a warm, professional and affirming experience for clients in person, over the phone and via email
Manage appointments and busy diaries for multiple clinicians
Coordinate bookings, rescheduling, cancellations and waitlists
Respond to a high volume of phone and email enquiries efficiently
Maintain accurate and confidential client records
Assist with Medicare, NDIS and general healthcare administration
Support the smooth day-to-day operation of the clinic
Problem-solve and confidently manage last-minute changes and competing priorities

What We're Looking For

You will ideally have:

At least 2 years' experience in a busy reception, healthcare, medical, allied health or client-facing administrative role
Experience managing multiple busy practitioner or clinician diaries
Experience with Halaxy or a similar practice-management system
Confidence booking, rescheduling and coordinating a high volume of appointments
Excellent organisational, multitasking and problem-solving skills
A warm and professional communication style
Strong attention to detail and the ability to remain calm under pressure
Integrity, reliability, responsibility and a high level of confidentiality
A proactive attitude and willingness to take initiative
A genuine interest in creating an affirming and inclusive experience for neurodiverse and culturally diverse clients
