The opportunity
The Enterprise Services Transformation (EST) Program is a strategic initiative focused on modernising and improving the corporate services that enable CSIRO to deliver its science and research impact. The program brings together business and digital transformation initiatives across key enterprise functions to simplify processes, improve user experiences, strengthen governance, and support more efficient and sustainable ways of working.

We are seeking an organised and collaborative Program Coordinator to provide high-quality coordination and administrative support across the EST Program. Working closely with the Program Manager, Project Managers, IMT delivery teams, Enterprise Services business areas and the Digital Portfolio Office, you will support governance, reporting, planning, records management and stakeholder engagement across multiple program workstreams.

Your high-level duties will include:

Coordinating governance forums, including agendas, papers, minutes, decision logs and action tracking.
Supporting program controls, including documentation management, financial reporting coordination and proposal/prioritisation activities.
Tracking milestones, deliverables, dependencies and risks across projects and workstreams.
Preparing timely and accurate reporting to support program governance and decision-making.
Maintaining program records and information to ensure transparency, consistency and auditability.
Maintaining and monitoring the program lessons register to support continuous improvement.
Building effective relationships with stakeholders, delivery partners and subject matter experts.

Role particulars

Location: Melbourne, Brisbane, Canberra and Perth preferred, with other locations negotiable

Salary: AU$118k – AU$127k per annum (pro-rata for part-time) + 15.4% superannuation

Tenure: Specified term of 2 years, Full-time

As the successful candidate, you will bring:

Demonstrated experience in a program or PMO coordination role, providing high-quality support in a complex organisational environment.
Proven ability to support governance, reporting and program controls, including schedules, action logs, RAID registers, meeting coordination and reporting packs.
Strong relationship-building skills, with the ability to work collaboratively with project managers, technical teams and Enterprise Services business areas to support delivery outcomes.
Well-developed written and verbal communication skills, including the ability to prepare clear, accurate and audience-appropriate documentation, reporting and meeting materials.
Strong organisational skills, attention to detail and follow-through, with the ability to manage competing priorities and maintain accurate records and program information.
An understanding of project and program delivery practices/methodologies within an IMT or digital delivery environment, and the ability to support delivery across multiple initiatives eg. Prince2, MSP, IMT PDF, Change and benefit management frameworks.

Desirable

Experience working in or alongside an enterprise transformation, digital or Information Management and Technology (IMT) program.
Experience using program, project or portfolio management tools and systems to maintain schedules, reporting, registers and records.
