Our 3-2-1 Hybrid Working Model

3 days from anywhere in Australia or Aotearoa New Zealand per week,
2 days from an RACP office location per week,

Job Description

About the Role

Training Services is responsible for providing training progression and comprehensive administrative support to stakeholders involved in the RACP training programs across Australia and Aotearoa New Zealand. Our services include advising on program requirements, delivering training support for both trainees and supervisors, training program committee governance and supervisor support.

As the Lead Program Officer, Basic Training, you will play a critical role in the delivery, governance and continuous improvement of the College's Basic Training programs across Australia. Working closely with the Senior Executive Officer, stakeholders, committees and cross-functional teams, you will oversee the running of Basic Training team's smooth running, drive process and system improvements, and coordinate the delivery of high-quality services. While this role has no direct reports, you will influence and guide team members, manage competing priorities and help shape the future delivery of training services.

Key responsibilities include:

Provide day-to-day leadership, coaching and guidance to Program Officers and cross-functional teams without direct line management responsibility.

Lead governance processes for assigned training programs, ensuring compliance with policies, accreditation standards and organisational requirements.
Monitor reporting frameworks, dashboards and performance measures to support effective program management.
Develop and maintain operational procedures, business documentation and knowledge resource.
Build trusted relationships with senior clinicians, committee members, education leaders and external stakeholders.
Act as a senior escalation point for complex member, trainee and stakeholder enquiries.
Foster a culture of accountability, collaboration and continuous improvement with the team
Create and maintain accurate electronic records
Provide professional secretariat support to relevant committees and forums.
Provide comprehensive and timely responses to member enquiries.
Manage team and committees shared mailboxes and ensure timely response.

Desired Skills and Experience

About You

Professional experience in management of medical or other education/health programs or in a member-based organisation.
Strong written and oral communication skills, adept at crafting reports, briefs, correspondence and policy/process documentation.
Demonstrated ability to thrive in dynamic work environments, proactively identifying and addressing challenges through critical thinking and strategic planning.
Ability to prioritise work, meet deadlines, managing a range of complex tasks in a changing work environment while maintaining an attention to detail.
Proven ability to work independently and in a collaborative team environment, to build and maintain relationships with internal and external stakeholders at various levels.
Demonstrated experience in delivering professional client and secretariat services
Data analysis and reporting, including the use of dashboards and performance metrics.
IT Capabilities: Advanced Microsoft Office skills with experience using SharePoint, collaboration technologies and enterprise business systems
