The Executive Assistant provides high level administrative and coordination support to the Assistant Deputy Secretary and sub-group, enabling the effective delivery of departmental objectives in line with departmental values.
About the Department
The department provides a wide range of learning and development support and services.
The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.
About the Division
The Teaching, Learning and School Performance sub-group is led by the Assistant Deputy Secretary and consists of two divisions:

Curriculum and Teaching Practice Division: focused on providing curriculum, teaching and learning policy advice to senior executives and the Minister, and guidance and resources to government schools; and

Schools Performance Division: responsible for the frameworks and programs relating to government school performance at the student, teacher and school level.
It works with other key areas of the department, including Senior Secondary Strategy and Reform, Schools Workforce and School Education Programs and Support, as well as the Victorian Curriculum and Assessment Authority (VCAA) and the Victorian Academy of Teaching and Leadership (the Academy) on matters related to the curriculum, teaching, learning and school performance.

The Executive Assistant provides high level administrative and coordination support to the Assistant Deputy Secretary and sub-group, enabling the effective delivery of departmental objectives in line with departmental values. The role manages executive correspondence, calendar management, meeting coordination, and corporate services while supporting quality assurance, records management, efficient sub-group operations and planning and culture events.
Key Responsibilities
In this role, you will:

Manage diaries, meetings, travel arrangements, and events for the Assistant Deputy Secretary.

Lead and coordinate the Executive Support Group across the sub-group.

Coordinate executive briefs, submissions, and correspondence.

Coordinate internal communications and information flow across the sub-group.

Contribute to the planning and delivery of sub-group-wide planning, engagement, and culture development activities and events.

Liaise with the Deputy Secretary's Office, Minister's Office, Department Liaison Officers, and other key internal stakeholders.

Support the use and continuous improvement of sub-group systems and processes, including Microsoft Planner.

Provide secretariat support for a range of regular internal meetings, including a formal decision-making Board.

Desirable Experience and Qualifications

Proven experience in executive support administration, preferably in a senior leadership context.

Previous experience working within the Victorian Public Sector or another government environment will be highly regarded.

Strong proficiency in managing confidential information, meeting deadlines, and delivering high-quality outcomes.
