About Fairfield Auto Parts

At Fairfield Auto Parts, we are a leading name in the automotive parts and recycling industry. We pride ourselves on fast, reliable service and supplying quality parts to our loyal customers. We are currently looking for an enthusiastic and detail-oriented Junior Accounts Officer to help manage our day-to-day transactional accounting and keep our office running smoothly.

About the Role

This is a fantastic opportunity for someone early in their accounting career or with solid bookkeeping experience who wants a stable, hands-on role. You will be responsible for the daily accounting basics—processing customer payments, entering invoices, and assisting with accounts payable and receivable.

In this role, you will act as the supportive bridge between our daily operations on the ground and our main external/executive accounts team, ensuring all data entered into Xero is accurate, organized, and ready for reporting.

Key Responsibilities

Accounts Receivable & Customer Payments

Payment Processing: Accurately process daily customer payments (cash, EFT, credit card) and allocate them in Xero.
Customer Follow-Ups: Contact customers via phone and email to follow up on overdue accounts and secure payment in a friendly, professional manner.
Billing Support: Assist customers with basic invoice inquiries and account statements.

Accounts Payable & Supplier Invoices

Data Entry: Enter and code supplier invoices accurately into Xero.
Statement Reconciliations: Match supplier invoices against monthly supplier statements to catch any discrepancies or missing documents.
Payment Preparation: Help prepare scheduled payment runs for our suppliers for approval by management.

Daily Support & Team Collaboration

Daily Transactions: Assist with daily bank reconciliations and general data entry.
The "Bridge": Keep accounting records tidy and up-to-date, acting as the primary point of contact to pass clear, organized financial information to our main accounts team.
General Admin: Provide general administrative support to the office and operations team as needed.

About You

We don't need a corporate executive; we are looking for a reliable, down-to-earth team player who is great with numbers, willing to learn, and not afraid to pick up the phone.

Experience: 1+ years of experience in an office, bookkeeping, or junior accounting role (handling basic AP/AR duties).
Software Skills: Practical experience using Xero is strongly preferred, along with basic proficiency in MS Excel/Word.
Communication: Confident and polite communication skills—you feel comfortable asking customers for payment and clarifying invoice details with suppliers.
Attention to Detail: A careful eye for numbers to ensure invoices and bank statements match up correctly.
Qualifications: A Certificate IV, Diploma, or Degree in Accounting/Bookkeeping (or currently studying towards one) is a plus, but practical, hands-on experience is just as valuable to us!
