About the Role
The purpose of this role is to help curate and deliver some of the state’s most influential business events, from flagship forums and conferences to member experiences that connect industry leaders, Ministers, keynote speakers and senior stakeholders. You’ll collaborate with WA’s best venues and suppliers, lift CCIWA’s position in the market, and craft experiences that our members talk about.
It’s fast, varied and hands‑on: one day you’ll be finalising a run sheet with a keynote, the next you’re on‑site with venue teams or shaping engagement with Marketing and Membership. No two days are the same, and you’ll own your patch with pride and accountability.
This is a
full-time, permanent position that will be based in the Perth CBD office.
Key responsibilities include:
- End-to-end Event Coordination: coordinate multiple events end‑to‑end—from concept through to delivery and debrief—while managing timelines, critical paths and run sheets, and preparing key event documentation to ensure seamless execution
- Stakeholder, Speaker & VIP Management: support speaker acquisition and management (including senior stakeholders such as Ministers and CEOs), liaise with internal teams to align content and messaging, and coordinate invitations, RSVPs and VIP hosting to deliver a premium event experience.
- Venue, Supplier & Production Oversight: source and coordinate venues and suppliers, lead site inspections and on-the-ground delivery, and manage contracts and budgets to ensure all elements meet quality, safety and delivery standards.
- Budgeting, Procurement & Compliance: support event budgeting and financial processes in line with approved budgets and CCIWA parameters, ensure compliance with all relevant regulatory and safety requirements, and identify efficiencies and cost savings without compromising event quality.
- Audience, Registration & On-site Experience: Manage guest registration and seating plans (including dietary and accessibility needs), maintain CRM and event data integrity, oversee on-site registration and logistics, and support delivery through stage management, exhibitor coordination and staff briefings to create a seamless, member-first event experience.
- Marketing & Member Engagement Integration: work with Marketing and Membership to maximise attendance and engagement, ensure event branding and messaging align with CCIWA guidelines, and capture post-event content to enhance CCIWA’s market presence.
- Reporting, Evaluation & Continuous Improvement: track KPIs and contribute to post-event reporting, while capturing insights and recommendations to drive continuous improvement across future events.
About You
To be successful in this role, you will have:
- Relevant degree or equivalent experience in event management.
- Demonstrated success coordinating corporate or government events (end‑to‑end).
- Strong stakeholder skills with confidence engaging executives, Ministers and VIPs.
- Excellent organisation, time management and attention to detail in high‑tempo environments.
- Clear, professional written and verbal communication; polished briefing materials.
- Vendor management, negotiation and on‑site delivery (including basic AV literacy and stagecraft).
- Budget awareness and cost control aligned to approved parameters.
- Practical problem‑solving and calmness under pressure; commitment to safety and accessibility.
- Experience with CRM and event platforms (e.g., Dynamics, Humanitix/Eventbrite or similar).
- Knowledge of protocol for government/VIP events (seating, arrivals, acknowledgements, media).
- National Police Clearance and Drivers Licence
