About the Role

Acting as the central coordination point for project administration and office operations, this role ensures the Project Director and Senior Leadership Team (SLT) receive a high-quality administrative support, managing meeting minutes, travel coordination and ensures the efficient operations of the project office.

Job Tasks and Responsibilities

Act as the primary administrative support resource for the Project Director and project leadership team.
Assist Project Managers with the preparation, collation, formatting, storage and distribution of electronic and hardcopy documentation, including correspondence, reports, project submissions, site paperwork and contractual documentation.
Manage calendars, appointments and meeting schedules for the Project Director and project leadership team.
Attend meetings, record minutes and track actions through to completion.
Coordinate travel and accommodation arrangements for project personnel as required.
Act as a central point of coordination and communication between project teams and support functions.

Essential Skills / Qualifications

Experience in a Personal Assistant, Business Support Officer, Project Administrator, Office Manager or similar role.
Demonstrated experience supporting senior executives or project leadership teams.
Strong organisational and time management skills.
Experience coordinating meetings, governance processes, and project documentation.
Excellent written and verbal communication skills.
High level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Strong attention to detail and ability to manage competing priorities.
Ability to work independently and maintain confidentiality.
