About the Role
As Clinic Manager at Luxe Lips, you will lead the day-to-day operations, team performance and client experience across our Melbourne clinics.
This is a highly client-facing leadership role for someone who takes pride in creating calm, polished and memorable experiences from the first enquiry through to consultation, treatment and follow-up care.
You will work closely with the nurses, doctors, dermal clinicians, and front-of-house staff to create a positive, high-performing clinic environment where both clients and team members feel supported, respected and cared for.

Key Responsibilities
Lead, coach, mentor and develop a high-performing team across clinical, front office and administrative functions.
Oversee the day-to-day operations of our clinics, ensuring smooth workflows, efficient appointment flow and consistent service standards.
Create and maintain an exceptional client experience from the first enquiry through to consultation, treatment and follow-up.
Support clinicians and front office teams to deliver a calm, polished and professional experience at every client touchpoint.
Manage recruitment, onboarding, rostering, attendance, performance conversations and ongoing team development.
Drive operational, financial and commercial performance through clear planning, reporting and accountability.
Monitor key business metrics including bookings, rebooking, conversion, utilisation, labour, revenue, stock control and client retention.
Maintain high standards across clinic presentation, communication, compliance, documentation and operational processes.
Manage client concerns and escalations with empathy, discretion, sound judgement and appropriate documentation.
Identify gaps in systems, service delivery or team performance and implement practical improvements.
Foster a positive, collaborative and accountable team culture across multiple locations.
Work closely with senior leadership to translate the Luxe Lips vision into clear standards, expectations and daily execution.
Support campaigns, promotions and clinic growth in collaboration with clinical, operations and marketing teams.
Ensure policies, procedures, consent processes and clinical administration requirements are followed.
Provide clear reporting, insights and recommendations to senior leadership.
About You

You notice the details that shape a client’s experience: how they are greeted, how they are guided through their appointment, how the clinic feels, how concerns are followed up and whether the team delivers consistently.
You are warm and approachable, but also confident setting expectations, addressing performance issues and holding people accountable. You remain calm under pressure, communicate clearly and take pride in creating an environment where clients and team members feel supported.
An outstanding Luxe Lips Practice Manager is someone who inspires people, protects the client experience, builds systems that scale and takes ownership of delivering strong operational and commercial outcomes every day.
Ideally, you will have:
Previous Practice Management, Clinic Management, Area Management, Client Experience Management or Senior Operations Management experience.
Experience within cosmetic aesthetics, medical, dental, allied health, beauty, wellness, luxury retail, hospitality or another premium client-service environment.
Strong client service and client experience expertise.
Demonstrated leadership, coaching and people development skills.
Excellent organisational skills with strong attention to detail.
Commercial and financial awareness with the ability to interpret and act on business performance.
Confidence working with clinic KPIs, reporting tools, booking systems and CRMs.
Experience managing rosters, workflows, stock, suppliers and day-to-day clinic operations.
Outstanding written and verbal communication skills.
The ability to manage sensitive client concerns professionally, calmly and compassionately.
A polished, professional presentation style.
A calm, solutions-focused approach under pressure.
High levels of accountability, integrity and professionalism.
A continuous improvement mindset with a passion for building high-performing teams.
The ability to travel between Luxe Lips clinic locations.
Experience in a multi-site business or regulated healthcare environment will be highly regarded. A clinical qualification is not required.
