Exciting opportunity to join the Victorian School Building Authority as a Senior Program Advisor. The role will support a new unit in the centralisation of private drinking water and waste water management for all eligible educational facilities including schools, kindergartens and early learning centres.
About the Role
This is a fixed term position until 30 June 2029.
The Senior Program Advisor will be highly motivated, ideally with government, facilities and/or asset experience. The role will support a new unit in the centralisation of private drinking water and waste water management for all eligible educational facilities including schools, kindergartens and early learning centres.
Reporting to the Manager of the unit, you will work to support the successful the delivery of the program. A strong focus on customer service and stakeholder engagement is essential along with problem-solving skills to deliver outcomes in a contract-driven environment. This role plays a critical part in the operations and service delivery across both areas of the program.
The role is integral to the program, working with educational facilities and VSBA service providers. They will have sound judgement, strong communication and attention to detail skills. Focused on customer service excellence, they respond promptly to enquiries from all stakeholders via phone, email, or the Service Now platform. They will need to work autonomously, but also supporting senior program advisers, providing high-quality documents and reports across the program activities to achieve program outcomes in a public sector environment.
This position may require visiting school sites during operating hours, therefore will require a valid Victorian Employee Working with Children Check and a current Victorian Driver's Licence.
Key responsibilities of this role include:

Build, promote and maintain strong relationships with all internal and external customers and stakeholders.

Monitor, respond and resolve inquiries in the program mail boxes, from schools, internal VSBA units, service providers, regional offices ensuring clear, accurate and responsive communication.

Respond to and resolve ServiceNow requests in a timely and efficient manner.

Undertake customer services evaluation, analysis, and reporting of the program.

Develop supporting resources, including policy documents, slide decks, fact sheets and FAQs to support stakeholders with clear information. Education of others on the program including the delivery of presentations as required.

Use software systems including the Asset Information Management System (AIMS) to undertake functions required for the program.

Coordinate and manage the work on the design, development and testing of the Asset Information Management System (AIMS) for use within the program including working with internal and external stakeholders.

Coordination and information sharing with other program areas in VSBA and broader department.

Respond to requests for information from the Minister's Office and Executive teams, including the development of briefings, correspondence and parliamentary collateral.

Qualifications and Experience

2 years demonstrated experience in similar role within government/or public service ideally in a customer service and stakeholder facing role (highly desirable).

Experience working with AIMS and Service Now platforms (highly desirable).

Knowledge and understanding of facilities and/or asset management with an understanding of building regualtions (highly desirable).

Excellent skills in using Microsoft Office software including Outlook, Word, Excel, Teams, PowerPoint, and SharePoint (required)
Flexible Work Expectations
This role has hybrid working arrangements. For full-time employees, the department expects 3 days per week in the office, in line with the VPS Agreement 2024. This role follows those same operational requirements: 3 in-office days, 2 remote (if full-time).

About the Victorian School Building Authority
The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s.
The VSBA upgrades and expands existing schools and plans, designs, and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants. With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early childhood sector on a massive kindergarten construction program.
About the Division
The Asset Management and Operations Division help government educational facilities maintain and manage their buildings and grounds. The Division delivers programs and systems to ensures educational facilities are routinely maintained and upkept. The Branches included in the Division are Maintenance Delivery, Asset Programs and Asset Operations.
Asset Operations Branch
The Asset Operations Branch is responsible for implementing and delivering programs that support Victorian government schools, kindergarten and early learning centres through Essential Safety Measures, School Cleaning, Kinder Facilities Management and support 24 government schools that are part of the Public-Private Partnership program.
