Practice Manager – Multi-Site Cosmetic Aesthetics

Luxe Lips is a growing cosmetic aesthetics group with established clinics in Moonee Ponds, Camberwell and Brighton.
We are known for thoughtful, consultation-led care, natural-looking results and an exceptional client experience. As we continue to grow, we are looking for an experienced Practice Manager who can bring structure, accountability and genuine leadership across our clinics.
This is not a purely administrative position. It is a hands-on leadership role for someone who enjoys developing people, improving systems, solving problems and ensuring every clinic performs consistently at a high standard.
The role
Working closely with the Owner and Clinical Director, you will oversee the day-to-day performance of our clinics and help translate the company’s vision into clear, consistent execution.
You will be responsible for ensuring our teams are supported, expectations are understood, standards are maintained and clients receive the Luxe Lips experience at every interaction.
Your key responsibilities will include
- Leading, supporting and holding clinic teams accountable across multiple locations
- Overseeing daily clinic operations, workflows and presentation standards
- Managing staff rosters, attendance, leave coverage and clinic resourcing
- Coaching team members and conducting regular performance conversations
- Monitoring clinic performance, including revenue, bookings, rebooking, conversion, utilisation and client retention
- Identifying operational gaps and implementing practical improvements
- Maintaining a consistently warm, polished and professional client experience
- Managing client concerns and escalations with empathy, sound judgement and appropriate documentation
- Supporting recruitment, onboarding, training and ongoing team development
- Ensuring policies, procedures, consent processes and clinical administration requirements are followed
- Maintaining accurate records, incident reports and operational documentation
- Overseeing stock control, ordering, supplier coordination and equipment servicing
- Working with our clinical, operations and marketing teams to support campaigns, promotions and clinic growth
- Providing clear reporting and recommendations to senior leadership
About you
You are a confident and highly organised leader who can balance people, performance and client care.
You are approachable but comfortable setting boundaries, addressing performance issues and following through on expectations. You remain calm when problems arise and take ownership of finding solutions.
You will ideally have:
- Previous experience as a Practice Manager, Clinic Manager, Area Manager or Senior Operations Manager
- Demonstrated experience leading and developing a team
- Experience within cosmetic aesthetics, medical, dental, allied health, beauty or another premium client-service environment
- Strong commercial awareness and confidence working with clinic KPIs
- Experience managing rosters, workflows, stock and day-to-day operations
- Excellent written and verbal communication skills
- The ability to manage sensitive client concerns professionally and compassionately
- Strong attention to detail and a high standard of personal presentation
- Confidence using booking systems, CRMs, reporting tools and Microsoft or Google applications
- The ability to travel between our Melbourne clinic locations when required
Experience in a multi-site business or regulated healthcare environment will be highly regarded. A clinical qualification is not required.

Pay: $90,310.41 – $115,136.69 per year
