EA Steel Fixing Pty Ltd is seeking a full-time Project Administrator to support the administration, coordination and documentation of construction projects across Adelaide and South Australia.
The successful candidate will work closely with site supervisors, subcontractors, suppliers and clients to support the delivery of steel fixing, reinforcement and structural concrete subcontract packages through accurate project records, progress tracking, reporting, work orders, variations and project documentation.
This project-focused role requires demonstrated experience across construction project administration, project coordination and project controls. Due to the company’s project delivery requirements, candidates must have experience supporting industrial, infrastructure and commercial construction projects, particularly within subcontractor-based delivery environments.
Responsibilities
- Coordinate and maintain project documentation, including work orders, subcontractor records, schedules, reports and completion documents.
- Assist with preparing, reviewing and updating project schedules, progress reports, project registers and documentation trackers.
- Monitor project progress and collect information from site teams, subcontractors and suppliers to support reporting on delays, risks, variations and required actions.
- Maintain project control records, including document registers, variation registers, risk matrices, issue logs, delay records and progress trackers.
- Coordinate project activities, documentation requirements and follow-up actions in consultation with management, site supervisors and project stakeholders.
- Coordinate communication between management, site supervisors, subcontractors, suppliers, clients and other project stakeholders.
- Assist with reviewing, recording and coordinating project variations, including changes to scope, site requirements, labour, materials and construction support services.
- Maintain document control systems, administrative tracking tools and structured project filing systems.
- Support coordination of subcontractor activities, site documentation, labour requirements, material delivery records and project delivery records.
- Assist with procurement-related project documentation, including purchase orders, supplier records and delivery tracking.
- Support preparation and coordination of progress claims, project reports and supporting documentation.
- Assist with monitoring project budgets, expenditure, cost variations and financial performance, and prepare budget and cost reports for management.
- Monitor and report on project milestones, work progress, changes, delays and completion status.
- Ensure project information is accurate, up to date and properly recorded to support construction delivery, progress reporting, quality requirements and workplace health and safety obligations.
Requirements
1. Education and Experience
- Bachelor degree or higher qualification in engineering, construction management, project management, business, management or a related field, or equivalent substantial relevant experience in the construction industry.
- At least 5 years of relevant experience in project administration, project coordination, construction administration, construction management support or construction project delivery support within the construction industry.
- Demonstrated experience supporting industrial, infrastructure and commercial construction projects is required. Candidates must have exposure to all three sectors due to the company’s project delivery requirements and the range of construction projects supported by this role.
- Experience in subcontractor-based construction delivery environments, including steel fixing, reinforcement works, structural concrete, civil works or related construction subcontract packages, will be highly regarded.
- Experience supporting government-funded, government-managed or public-sector construction projects within subcontractor-based delivery environments would be advantageous.
- Experience supporting tender preparation, tender documentation, procurement processes, tender evaluation requirements or coordination with tender committees would be considered favourably.
2. Technical Skills
- Ability to manage project documentation, schedules, registers and reports.
- Understanding of construction project coordination, subcontractor communication, work orders, variations, progress claims and progress reporting.
- Ability to collect, organise and analyse project information from site teams, subcontractors and suppliers to prepare clear reports for management.
- Experience using Primavera P6, MS Project, document control systems and construction management platforms will be highly regarded.
- Experience updating project schedules, monitoring milestones, maintaining risk matrices, issue logs, delay records, variation registers and document registers, and preparing project progress reports for management will be highly regarded.
- Ability to read and coordinate construction-related documentation, including drawings, scopes of work, site instructions, schedules, work orders, variation requests and completion records.
- Experience with AutoCAD Viewer, Navisworks and project reporting tools such as Power BI will be highly regarded.
- Proficiency in Microsoft Office, including Excel, Word and Outlook.
3. Safety and Compliance
- Understanding of construction site safety requirements and safe work practices.
- Ability to maintain workplace health and safety documentation and project compliance records.
- White Card preferred.
4. Communication and Personal Qualities
- Effective written and verbal communication skills, with the ability to coordinate with management, site supervisors, subcontractors, suppliers and clients.
- Additional Russian language skills would be highly regarded, particularly for supporting communication in a multilingual workplace.
- Strong organisational skills and attention to detail.
- Ability to work independently and as part of a project team.
- Ability to manage multiple project tasks, priorities and deadlines.
- Problem-solving attitude and willingness to support project delivery.
- Ability to work across different project sites in Adelaide and South Australia when required.
Preferred Experience
- Previous experience in construction project administration, project coordination or project controls.
- Experience supporting industrial, infrastructure or commercial construction projects involving project schedules, work orders, variations, progress claims, risk registers, document control and subcontractor coordination.
- Experience coordinating labour records, material delivery records, site documentation and completion evidence across active construction project sites.
