About the Role
We are looking for an experienced and detail-oriented Senior Officer - Records Management to join our Records Management team. This role is responsible for providing expert advice, guidance, and support across records and information management practices, ensuring compliance with corporate, regulatory, and legislative requirements.
As a subject matter expert, you will play a key role in managing information throughout its lifecycle, supporting business stakeholders with complex records enquiries, metadata classification, retention and disposal requirements, and information governance. You will also contribute to continuous improvement initiatives, quality assurance activities, planning and training programs, and the ongoing enhancement of records management processes and compliance tools.

What the role will involve
Records & Information Management
-
Lead the indexing, classification, naming, retention, and lifecycle management of physical and electronic records.
-
Provide expert advice and support to business stakeholders on records management standards, metadata requirements, disposal schedules, and information governance practices.

Monitor and address metadata, classification, retention, and indexing inconsistencies to maintain data integrity and compliance.

Lead reporting activities across records and information management functions
-
Conduct quality assurance activities to ensure records management standards and regulatory obligations are accurately applied across systems.

Liaise with internal teams and external stakeholders, including the State Records Office of WA, regarding records management requirements, file transfers, disposal schedules, and compliance matters.

Support the governance of records management practices across the organisation to ensure alignment with legislative and statutory requirements.

Contribute to the development, testing, and continuous improvement of records management processes, compliance tools, and information governance frameworks.
Stakeholder Engagement & Advisory Services

Build strong relationships with business customers and provide trusted advice on records management best practices.

Deliver reporting, guidance, and recommendations to senior stakeholders regarding records quality, classification, retention, and compliance outcomes.

Collaborate with alliance partners, vendors, and external service providers to ensure records management obligations are met during project delivery and document handovers.

Support remediation activities relating to records quality and information governance.
Training & Capability Building

Deliver training and coaching on records management principles, classification standards, naming conventions, and retention requirements.

Develop and contribute to information management training and awareness initiatives across the organisation.

Support stakeholders in building capability and understanding of records management obligations and best practices.
Continuous Improvement & Compliance

Maintain awareness of emerging trends, legislation, standards, and best practices within records and information management.

Identify opportunities to improve processes, systems, service delivery, and information quality.

Contribute to the effective management of team resources and support the delivery of organisational objectives.

Ensure all activities are undertaken in accordance with corporate policies, legislative requirements, ethical standards, and information governance obligations.
About You
You are an experienced records management professional with strong attention to detail and a passion for information governance. You enjoy partnering with stakeholders, providing expert advice, and ensuring records are managed effectively throughout their lifecycle.
You will bring:

Significant experience within a records management, information management, or document management environment.

Strong knowledge of records classification, indexing, metadata management, retention and disposal practices.

Experience working with electronic document and records management systems.

Sound understanding of records management legislation, standards, compliance obligations, and information governance principles.

Excellent analytical, problem-solving, and quality assurance skills.
-
Strong communication and stakeholder engagement capabilities.
-
The ability to work collaboratively while delivering high-quality customer-focused services.
Desirable Experience
-
Qualifications or further studies in Records Management, Information Management, Library Studies, or a related discipline.

Experience using KPIs and performance measures to monitor and improve service delivery.

Knowledge of contemporary records and information management trends, tools, and technologies.
