Customer service and general administration assistance

About the Role

The purpose of this role is to deliver professional front-of-house service while ensuring the smooth day-to-day operation of workplace facilities, visitor management, office services and administrative support functions. The role acts as the first point of contact for visitors, members, staff, contractors and stakeholders, while maintaining a safe, organised and welcoming workplace environment.

This is a full-time, permanent position that will be based in the Perth CBD office.

Key responsibilities include:

Provide professional front-of-house and administrative support by welcoming members, visitors and stakeholders, managing visitor registrations, mail and courier services, and coordinating reception enquiries through shared inboxes and visitor management systems.
Support the CEO Office and Policy & Economics team by managing a shared inbox, handling stakeholder correspondence and enquiries, and coordinating meeting requests and logistics for Roundtables and General Council activities.
Coordinate building, facilities and security operations, including contractor management, workplace maintenance, staff access cards administration and liaison with building management and service providers.
Manage office supplies, inventory, catering and workplace amenities, ensuring resources are well stocked and operational requirements are met.
Provide meeting room administration and support, including bookings, room setup, scheduling coordination and maintaining professional, well-equipped meeting spaces.
Maintain clean, organised and functional communal areas and kitchens, including equipment servicing, stock replenishment and compliance with company policies.
Provide administrative support across the organisation, including travel and accommodation coordination, staff assistance, and support for the CEO Office, Policy & Economics team and other business units.
Support organisational operations by maintaining the Reception Manual, managing email distribution lists, and contributing to workplace improvement initiatives and office projects.

About You

To be successful in this role, you will have:

Demonstrated experience in as a receptionist, front-of-house or administrative support role.
Pro-active customer focused approach with a commitment to providing a high-quality service.
Ability to communicate effectively at all levels and build effective business relationships
Strong organisational and time management skills, with the ability to work independently and prioritise tasks.
Intermediate Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.
Flexible and adaptable, with the capacity to respond effectively to changing business needs and priorities.
