Clinic Coordinator/ Receptionist

Dee Why, NSW

Join a Leading Specialist Endodontic Practice

We are a well-established, high-performing specialist endodontic practice in the Northern Beaches seeking an experienced and motivated Clinic coordinator/ Receptionist to join our professional team.

As the first point of contact for our patients and referring dentists, you will play a key role in delivering an exceptional patient experience while supporting the efficient day-to-day operations of the practice. This position is ideally suited to an individual who enjoys working with people, thrives in a dynamic. Fast paced environment, can multi-task, is a team player and is committed to providing outstanding customer service.

Position Details

- Full-time opportunity
- Monday to Friday
- Hours rostered between 7:00 AM and 5:30 PM
- Up to 38 hours per week
- Competitive hourly rate: $36–$45 per hour, depending on experience

About the Role

As Clinic Coordinator/ Receptionist, your responsibilities will include:

- Providing a warm, professional, and welcoming experience for patients and visitors
- Managing patient check-in and check-out processes
- Coordinating appointment schedules and maintaining an efficient daily workflow
- Responding to incoming phone calls, emails, and patient enquiries promptly and professionally
- Preparing and distributing medical reports and correspondence
- Building and maintaining strong relationships with referring dentists, practice managers, and patients
- Managing daily rosters and supporting operational coordination
- Ordering and maintaining office supplies and resources
- Ensuring patient records are accurate, confidential, and compliant with relevant regulations
- Supporting the implementation and continuous improvement of practice systems and processes
- Maintaining a professional, organised, and welcoming reception environment.

- Confident in managing multiple priorities within a fast-paced environment
- Professional, reliable, and proactive in their approach
- Flexible and adaptable to changing schedules and operational requirements
- Technically proficient and comfortable learning new software systems (experience with Core is advantageous)
- Energetic, self-motivated, and solutions-focused
- An excellent communicator with strong interpersonal skills
- Committed to delivering exceptional customer service and patient care
- Comfortable taking initiative, delegating tasks when appropriate, and ensuring processes are followed consistently

Desirable Skills & Experience

- Previous experience in a dental, specialist medical, or healthcare environment is preferred
- Experience in treatment coordination or patient management
- Experience managing schedules and administrative workflows
- Knowledge of dental software systems is highly regarded

Certificate III or IV in Dental Assisting is highly regarded but not essential.
