Full Job Description

Insightful Minds Psychology is looking for a warm, organised and reliable Administration Assistant to join our growing team.

Every phone call, email and interaction has the potential to make someone's first step towards seeking support feel a little easier. As our Administration Assistant, you'll play an important role in helping people feel welcomed, heard and cared for from the moment they contact our practice. We believe that building trust begins with the very first point of contact, and our administration team is an essential part of creating a positive experience for every client.

You will work alongside our experienced administration team, receiving training and support while developing your skills within a busy private psychology practice.

About the Role

Casual position offering approximately 12–15 hours per week, with consistent ongoing hours and the potential for additional shifts as the practice grows.
$33.71 per hour.
Based at our Erina clinic.
Availability across up to three business days per week is required, with days negotiated to meet the needs of both the practice and the successful applicant.

Key Responsibilities

Answering phones and responding to client enquiries with warmth and professionalism.
Greeting clients and creating a welcoming, calm environment.
Scheduling appointments and managing clinicians' diaries.
Assisting with client correspondence and appointment reminders.
Processing referrals and completing general administrative tasks.
Maintaining accurate client records.
Supporting the administration team with the smooth day-to-day running of the practice.
Support social media engagement.

About You

Excellent computer skills and ability to learn IT systems
Is well organised and has excellent attention to detail.
Naturally notices when something needs doing and enjoys helping things run smoothly.
Remains calm, kind and professional, even when the clinic is busy.
Enjoys creating positive experiences for people and understands the importance of compassion and kindness.
Is happy juggling a variety of tasks and can confidently switch between them with ease.
Enjoys challenges and approaches problems with curiosity, initiative and a solutions-focused mindset.
Is reliable, punctual and takes pride in producing high-quality work.
Has excellent written and verbal communication skills.
Works well independently while also contributing positively to a close-knit team.
Understands the importance of confidentiality and professionalism at all times.

Previous administration, reception or customer service experience is highly regarded; however, we are happy to train the right person who brings a positive attitude, initiative and a genuine willingness to learn.
