Full Job Description

The Role

Clayton Utz is one of Australia's oldest leading law firms, known not only for its reputation as a premier legal services provider, but also for our fantastic firm culture. We now have rewarding opportunity for a motivated and enthusiastic administrative or office assistant to join our Facilities and Office Services (FOS) team in Sydney on a full-time, permanent basis.

This is a varied and hands-on role which will see you assist with the daily operations of the Sydney office. Your main duties will include, but are not limited to:

Managing the set-up requirements for meetings & events, including moving or lifting of office equipment;
Handling staff queries by telephone, email and in person and providing assistance to the FOS Helpdesk;
Liaising with contractors & building management for office repairs & maintenance;
Security pass management;
Assisting with the coordination of office moves & desk allocations;
All standard and complex photocopying and printing jobs using a multi-functional device (MFD);
Spiral, continuous, heat and wire binding as well as laminating, paginating and scanning;
Managing ingoing and outgoing courier deliveries and mail;
Stationery stock management and ordering;
General ad hoc duties that arise from time to time.

Please note, some manual handing such as lifting and moving office and AV equipment will be required in this role.

Skills & Experience

To be successful in this role, you will have:

High School Certificate
Strong oral and written communication skills
The ability to manage a high volume of work with competing deadlines, and learn new tasks quickly
Excellent attention to detail
Proficiency with Microsoft Outlook, Word as well as Adobe Acrobat functionality

You will be a flexible, positive team player and demonstrate a willingness to learn and contribute within a broader team environment. Most importantly, you will have an outstanding client service ethic and apply this to everything you do.

The Facilities and Office Services team

The Facilities and Office Services group is part of our Operations Department at Clayton Utz. The services provided by this group varies between offices but includes copying and printing, mailroom, records and archives, and stationery.
