About the opportunity
The Administrator Project Management Office (PMO) will be a key team member of a centralised PMO to support NSW Ambulance Executive Projects. The Administrator PMO provides project management office administration support and co-ordinates project reporting to facilitate consistent and high-quality project delivery. In this role, you will coordinate project governance committee meetings, prepare agendas, meeting papers and minutes, and maintain action and decision registers to support effective governance and oversight. You will assist in the preparation of project and portfolio reports, including Executive Oversight and Steering Committee reporting, ensuring information is accurate, timely, and fit for purpose.
You will also provide administrative and coordination support across the PMO, including organising meetings and workshops, maintaining project documentation and records, and supporting the management of project management tools, templates, and procedures. Working closely with Project Managers and stakeholders, you will contribute to the effective delivery of projects and support continuous improvement across PMO processes and practices. This role offers the opportunity to develop valuable experience in project governance, portfolio reporting, stakeholder engagement, and continuous improvement. The PMO partners with the organisation to provide project management and change leadership, to enable the organisation to deliver maximum value through their Executive Projects.
About you
To be successful, you will bring:
You are a highly organised and proactive administrator with experience supporting project, program, or portfolio environments. You have strong attention to detail and take pride in delivering high-quality work.
You have experience providing support within a project-based environment in the health or government sector, with PMO experience highly regarded.
You have strong organisational skills, with the ability to manage competing priorities and deliver high-quality outcomes within agreed timeframes.
You have experience coordinating meetings, preparing agendas, meeting papers and minutes, and maintaining action and decision registers, preferably supporting Executive or Steering Committees.
You have well-developed written and verbal communication skills, with the ability to engage effectively with stakeholders at all levels and building trust and maintaining strong partnerships.
You are proficient in Microsoft Office applications, including Word, Excel, PowerPoint, Teams, and SharePoint. Experience using Power BI would be advantageous but not mandatory.
You have strong attention to detail and commitment to maintaining accurate documentation and data.
