We’re looking for a highly organised Board and Legal Administrator to provide support that enables the smooth and effective operation of the Board, Company Secretariat and Legal functions.
You’ll coordinate Board and Committee meetings, manage key governance documentation, support legal administration activity and work closely with senior internal and external stakeholders. This is a role where professionalism, discretion, attention to detail and proactive coordination will be key to success.
In this role, you’ll have the opportunity to:
- Coordinate CHL Board, Committee and subsidiary meetings, Board offsite visits and related logistics.
- Manage and administer the Board Management System, including uploading Board and Committee packs in line with agreed publication dates
- Prepare meeting invitations, attendance registers, catering, room setup, technology requirements and relevant meeting materials
- Support Committee planning activity and maintain final documentation in appropriate SharePoint repositories
- Provide secretarial and administration support to the Company Secretariat and Legal teams
- Process invoices, credit card claims and general administrative tasks accurately and on time
- Maintain legal records, registers, databases, contracts and legal agreements
- Assist with annual and ad-hoc projects, document formatting and continuous improvement initiatives
- Maintain Board and Committee registers, minute books, Diligent resources and governance records
We’re looking for someone who brings:
- At least 3 years’ prior experience as a Board Administrator or in a similar governance, secretariat or executive administration role
- Strong experience managing calendars, meeting logistics and confidential administration for Executives, Directors or senior stakeholders
- Experience coordinating logistics with external stakeholders, including Board and Committee members
- Confidence using systems and applications such as Diligent, SharePoint, Excel, PowerPoint, Teams and Microsoft Office
- Excellent time management, prioritisation and organisational skills, with the ability to work under pressure
- Strong attention to detail and professional written and verbal communication skills
- Professionalism, discretion, resilience, initiative and a high level of personal integrity
- The ability to work with minimal supervision while contributing positively as part of a team
- Confidence using AI and technology to improve efficiency and productivity
- Willingness and ability to travel, including interstate travel and visits to aged care homes alongside Board members
- Willingness to be flexible on the days of the week worked – essential for attendance on Board Meeting days
- Experience in the aged care sector would be highly regarded
