Attendance requirement for this position
The Administration Office Manager, under the instruction of the Business Manager and School Leadership, is responsible for the coordination and day-to-day management of administrative services within Burwood East Primary School.
Working closely with the Business Manager and the Leadership Team, the Administration Office Manager ensures the efficient operation of administration functions, the delivery of high-quality customer service, and compliance with Department of Education policies, procedures and legislative requirements.
The role oversees office systems and processes and contributes to the effective operation of the school through strong organisational, communication and people management skills.
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
KEY RESPONSIBILITES
- Be the welcoming face of Burwood East Primary School at reception
- Manage enrolment enquiries via the Insight platform, phone, email and in person
- Manage student admissions, transfer and exit processes.
- Manage International Student enrolments in accordance with Department of Education policy and guidelines
- Coordinate and schedule school tours with relevant staff
- Oversee and perform reception duties and Provide First Aid.
- Coordinate the administration duties at Burwood East Primary School.
- Provide guidance and support to staff to ensure consistent and effective service delivery.
- In consultation with the Business Manager and the Leadership Team, develop implement and review administrative procedures and systems to improve efficiency and effectiveness and determine and manage work priorities.
- Monitor administrative workflows and ensure deadlines and timelines are met.
- Manage OH&S and Child Safe documentation and inductions for school visitors, volunteers and others at the direction of the Business Manager.
- Promote a collaborative, professional and customer-focused culture within the school.
- Escalate operational issues and concerns to the Business Manager and Leadership Team as required.
- Ensure consistency of administrative practices.
- Manage office communications, correspondence and administrative procedures.
- Coordinate office purchasing, stock control, first aid supplies, receiving and distribution processes.
- Assist with emergency management and operational procedures as directed.
- Ensure the accurate maintenance of student records in accordance with Department of Education requirements and privacy legislation.
- Ensure the integrity, confidentiality and security of student information and records.
- Maintain, enter and retrieve data using CASES21, Compass and other approved Department systems.
- Provide support in delivering a high standard of customer service to students, families, staff and visitors.
- Support communication processes including Compass, producing the fortnightly school newsletter and parent communications.
- Maintain positive working relationships with staff, students, families and external stakeholders.
- Ensure confidential and sensitive information is handled appropriately.
- Maintain knowledge of relevant Department policies and communicate updates to administration staff.
- In consultation with the Business Manager and Leadership Team support continuous improvement initiatives and administrative process reviews.
- Participate in and promote professional learning and development opportunities.
- Model professionalism, integrity, accountability and ethical practice.
- Contribute positively to the culture and strategic direction of the school.
- Undertake other duties as directed by the principal, consistent with the classification level of the position

Burwood East Primary School has a long and proven history in education. For over one and a half centuries, the school has provided a caring learning environment for the children of the area. Established in 1861, Burwood East Primary School is one of Victoria's oldest schools, located in Melbourne's eastern suburbs, approximately 20 kilometres from the city centre. The school currently has a population of 475 students. The school comprises of a main building incorporating twelve classrooms, multimedia space and an administration centre. During 2023 a new $9million building was constructed which includes new classrooms and a combined STEM and Visual Arts learning space. As part of the works our hall was remodeled to create a music room and flexible general use area which can facilitate breakfast club, fundraising activities, OSHC, PE classes in inclement weather and many other activities and events throughout the year. Connecting the new building to our remodeled hall is an outdoor covered learning space with a synthetic turf basketball court, tiered seating, and a large LED screen. In addition to the main buildings, there are also two freestanding classrooms that have been converted into a Club Hub and Bands Room and four double portable classrooms. External facilities include three separate adventure playgrounds with shade cloth sun protection, basketball courts and an oval with a cricket pitch and soccer nets. With a strong emphasis on environmental issues and sustainability Australian native plants and many mature trees, provide shade to assist sun protection and our chicken run with wheelchair accessible path ensures all students can be involved in ways both big and small.
