About the Role

To provide high-level operational and administrative support to the Operations Manager – Roma and the Roma Operations teams. The role supports efficient, responsive and compliant service delivery across Roma’s water, sewerage and gas, parks and gardens, events, facilities, Bassett Park, roads and drainage activities

Key Responsibilities

Administration Services

Provide administrative support to the Operations Manager – Roma and Roma Operations team members:
Assist with the preparation of internal and external correspondence.
Collate, process and distribute departmental documentation, including:
o Maintenance crew checklists
o Timesheets
o Hazard / incident documentation
o Training enrolment forms
o Employee licences and certifications
Assist with the preparation of departmental reports, budgets and other documentation as required.
Support the maintenance of Council’s systems and databases and records management systems.
Ensure all business documents and correspondence are recorded in Council’s record management system in compliance with Council policies, procedures and legislative requirements.
Contribute to and support internal and external audits as required.
Provide assistance in the facilitation of internal and external meetings and events including agendas, action items, catering, venue booking and meeting minutes.
Liaise with internal and external stakeholders and assist with coordinating maintenance, repairs and contractor access for Roma operational facilities and assets.
Support and contribute to operational projects, planned maintenance programs, annual water meter reads and street-light inspections.

Customer Service

Provide high quality, proactive customer service for internal and external Council customers via phone, email and in person.
Enter and respond to customer requests and queries in accordance with Council’s Customer Service Charter and relevant policies and procedures for operationaldelivery.
Liaise with customers and other Council departments to provide updates and seek additional information where required.
Monitor progress reports and assist the Operations Manager – Roma and relevant operational leaders to respond to, update and resolve customer requests within required service standards.
Maintain accurate records of customer requests within Council’s customer request system.

Procurement

Accurately process requisitions and purchase orders and maintain records within Council’s financial management system (Authority), in accordance with Council’s Procurement Policy and procedures.
Ensure procurement administration complies with Maranoa Regional Council’s Procurement Policy and procedures and supports value-for-money outcomes.
Undertake data entry of requisitions (as alternate requisitioner) including pre-qualified panels of suppliers, as approved and requested by the relevant employee with the financial delegation.
Assist with the processing of invoices to support the local Operations team including:
o Creating requisitions
o Assigning to relevant supervisor for approval
o Receipting invoices how do

Operational Service Support

Provide coordinated administrative support across Roma Operations, including but not limited to:
Water, sewerage and gas operations
Parks and gardens, Council-managed events, facilities and Bassett Park operations
Roads and drainage operations in Roma, and regional signs and lines programs
Operational work programs, inspections, schedules, permits, registers and service records
Contractor documentation, work-order administration, quotations and completion records
Collection, collation and reporting of operational data, performance measures and work-program status
